Reports to: Patient Advice & Liaison Manager or DeputyTallaght University Hospital (TUH) is a model 4, voluntary, academic teaching hospital partnered with Trinity College and situated in south west Dublin. The Grade IV role will be responsible for providing efficient administration support across the Nursing Directorate. The role will include admin across:

  • The Nursing Directorate
  • Patient Advocacy and Liaison Department/ Decision Support service.
  • Working with specialist and advanced practice services to support data collection and report development

Overview of Role:Key Duties and Responsibilities

  • Will convey the message of a caring, friendly, professional, confidential patient/customer centered service, committed to the delivery of a high quality customer service
  • Liaise with staff in other departments, the public and outside agencies in a confidential, courteous and professional manner
  • Monitor and manage incoming calls both over the telephone and in person responding appropriately
  • Assist with the organization and preparation of meetings as appropriate including accurate recording and transcription of minutes
  • Assist with the accurate collection of data, and typing of reports for review
  • Provide general admin support including ordering of supplies and display of Patient information packs as appropriate
  • Commitment to continuous professional development including completion of relevant internal training programmes available through our Centre for Learning & Development Prospectus
  • Any other duties that may be assigned from time to time

Qualifications & Experience requiredMust have:

  • Have obtained at least Grade D3 in five subjects in the Leaving Certificate Examination (higher, ordinary, applied or vocational programmes) or equivalent

Or

  • Have passed an examination at the appropriate level within the QQI qualifications framework which can be assessed as being of a comparable to Leaving Certificate standard or equivalent or higher i.e. Fetac Level 5

Or

  • Have satisfactory relevant experience which encompasses demonstrable equivalent skills

And

  • 2 years relevant administration experience
  • Relevant experience in recording and transcribing minutes of meetings.
  • Practical experience of use of IT systems / packages
  • Proficient in the use of Microsoft office i.e. Word, Excel, Outlook, PowerPoint
  • Fluent command and understanding of the English language to include spoken and written word

Desirable:

  • Minimum of 1 year’s administration experience in Healthcare environment

Reward & Recognition

  • Remuneration is in accordance with the Department of Health Consolidated Salary Scales, grade code 0558
  • The appointment is whole time, permanent and pensionable
  • The annual leave entitlement is 27 working days per year including 10 bank holidays as they occur. The leave year runs from 1st April to the 31st of March each year
  • Normal working hours are 37 worked over 5 days. Your contracted hours of work are liable to change between the hours of 8 am to 8 pm over 7 days to meet the requirements for extended day services in accordance with the terms of the Framework Agreement
