Position Title: Administrative Assistant

Location: Surbourg

Position Overview:

The Administrative assistant reports directly to the line to Plant Manager, with dotted EIMEA Finance and HR.

This is a critical role in finance, HR, control, accounting, with responsibility and involvement across a broad range of financial and management areas. The primary objective of this position is to optimize business financial results by proactively connect, support, challenge and drive control of operation performance improvements, as first singular local point of contact, for finance, HR, controls, etc.

Primary Responsibilities: 

  • Control and execution of the indirect purchase orders for site (included or not “Toller” related) and control CAPEX projects with site leaders.
  • Manage the Indirect Cost supporting Management team on site.
  • Coordination Facility management; Local contractors, Installation, etc.
  • Support the different managers or management teams on different task as, presentation, control sheets, memorandum, audit, and any documentation required.
  • Support the HR manager in local administrative tasks, Trainings, Reporting, Ethics, Absenteeism. Language translation and explanations.
  • Support site for organization of trainings, control of hours, etc.
  • Support Supplies Planning team whenever is required (lack of personal, Holidays, sickness, low demand situations etc …)
  • Perform the internal controls in compliance with SOX Requirements.
  • Support on Monthly Accounts, in compliance with USGAAP and Statutory GAAP accounting principles and company procedures, within the timelines set in cooperation with Management and other functions.
  • Monthly, Quarterly and Year-End Financial Reporting to European Accounting Team.
  • Ensure that Statutory Annual Accounts and Tax Returns are filed in on time in cooperation with local tax advisors.
  • Responsible for all Other Statutory and Tax Filings required for the entity (e.g. National Statistic questionnaires; VAT Declarations, …).
  • Management of Intercompany recharges and Netting.
  • Authorization of Payment runs when required.
  • Responsible for all the journal entries in the accounts and guarantee that all the supporting documentation are in place.

Minimum Requirements: 

  • 2 years of experience in finance or accounting experience (FP&A, Accounting, Corporate Finance, Auditing, Treasury).
  • Experience on administrative HR (Payroll, Record file, Time keeping system).
  • Highly proficient in the use of the Microsoft Excel.
  • French native and English-speaking skills. German is very valuated, and other languages appreciated.
  • Individually Accountable for Results.
