An exciting opportunity has arisen to join the IT Communications team within the University IT department. The role-holder will provide professional administrative support to the team, supporting communications activities for a range of audiences through various channels.  

As Communications and Digital Content Assistant, you will add and update high volumes of online content to the university intranet, website and Viva Engage employee communication platform, and support the creation of content for digital screens and printed materials. You will also support internal communications activities within the University IT department, including producing regular newsletters, maintaining and developing guidance and information for staff, and assisting in the planning, organisation, and delivery of departmental events.  

You will have exceptional communications and relationship-building skills, and you will be able to interpret complex and technical information and communicate it effectively to a range of audiences. 

This role is eligible to be offered on a blended working basis, meaning that as well as spending time working on campus you can also choose to spend some time working from another location, e.g. your home. Discussions around these arrangements can take place after the successful candidate has been appointed. Salary: £26,444 – £29,605 per annum (Grade 4)

Job Description

Job Purpose 

Provide comprehensive professional administrative support to the IT Communications team. The role will support communications activities for a range of audiences through various channels, with a particular focus on updating and creating web and intranet content about IT services. The role will also support internal communications activities within the University IT department.  

Duties and Responsibilities 

Key Duties  

  • Add and update high volumes of content to the university intranet, website and Viva Engage employee communication platform, with close attention to detail
  • Produce regular email newsletters for staff within the department
  • Assist in the planning, organisation and delivery of departmental events
  • Provide detailed advice and guidance on communications and digital content processes and procedures to internal and external customers, using judgement and creativity to suggest the most appropriate course of action where appropriate
  • Collaborate with others in order to make recommendations for developments of established processes and procedures
  • Establish working relationships with key contacts to help improve service levels, developing appropriate communication links with the University’s Schools/Directorates and outside bodies as required
  • Undertake a variety of administrative duties, including updating and developing information for departmental staff, writing reports, and organising and supporting communications-related meetings, to support the team and department
  • Gather and analyse data to inform decisions, establishing basic trends and patterns in data and creating reports as appropriate
  • Instruct and guide other employees across the University within communications and digital content production as required

Person Specification

Essential Criteria 

Qualifications and Education 

1.    NVQ 3/A-Levels or equivalent 

Knowledge, Skills and Experience 

2.    Substantial experience of working in an administrative role, including web editing
3.    Specialist knowledge of communications and staff engagement
4.    Ability to set up standard office systems and procedures and make improvements as appropriate 

Customer Service, Communication and Team Working
5.    Ability to communicate specialist and complex information effectively and professionally to a range of customers with varying levels of understanding
6.    Proven ability to advise and influence key stakeholders,
7.    Evidence of ability to explore customers’ needs and adapt the service accordingly to ensure a quality service is delivered. 

Planning, Analysis and Problem solving
8.    Evidence of ability to solve problems using initiative and creativity; identify and propose practical solutions and to resolve problems where there are a range of potential options available
9.    Evidence of ability to analyse processes and procedures, and advise on improvements
10.  Evidence of ability to work unsupervised to deadlines, planning and setting priorities for own work 

Desirable Criteria 

1.    Degree or an equivalent qualification or equivalent work related experience
2.    Experience of working in a Higher Education environment
3.    Fluency in Welsh, written and oral
