Location Dual Campus Singleton and Bay campus

The Estates and facilities directorate comprises of several service areas:

  • Events, Catering, Sport and Commercial and Campus Services
  • Capital and Minor Works Projects, Technical Services, Asset Management & Information Services and Utilities.
  • Sustainability, Safety and Resilience. 

This role sits within the Event services team who, each year, facilitate over 200 events from point of enquiry – to on the day, for bookings such as meetings, residential conferences, exhibitions, dinners and award ceremonies, over Singleton and the Bay campus. 

      The post holder will be required to coordinate a large portfolio of non-commercial and commercial events from   conception to completion.

  • Coordinate high profile University events.
  • Communicate and negotiate with internal and external organisers to maximum the event diary and revenue.
  • Accurately record all aspects of an event on the event management system.
  • Liaise and collaborate with stakeholders to ensure the smooth running of events.
  • Write engaging, multi-channel content for the Graduate Outcomes communication plan, all alumni communications and any other marketing communications required by the Development and Alumni Relations Manager or Head of Development and Engagement
  • Review, edit and proofread communications material produced by the Development and Engagement team and adhere to HESA guidelines in order to produce appropriately branded and timed Graduate Outcomes content.
  • Liaise with colleagues across the University to identify news and events of interest to alumni and current students, embedding a Graduate Outcomes culture from the start of their University careers.

    Qualification:

    Educated to a good general level including GCSE Maths and English.

    Experience:

    Significant experience of delivering event management and coordination services in a medium to large organisation

    Experience of working collaboratively, as part of a team and co-ordinating with others.

    Experience of delivering exceptional customer service and understanding customer needs.

    Experience of working in a busy and ever-changing office environment.

    Proven organisational ability to deal with numerous competing tasks of a time sensitive nature and prioritise accordingly to ensure deadlines are met.
