The Senior Executive Support Team is seeking a part-time Executive Assistant to provide a professional, efficient, and effective administrative service, supporting the Executive Director of Faculty Operations. You will work with the Executive Officer to ensure key administrative activities are managed and delivered on time.

As part of the role, you will participate in all aspects of administrative support, including servicing meetings, planning travel, accommodation, and catering, disseminating information on behalf of the Executive Director of Faculty Operations, administering, and creating online filing systems.

Independence and initiative will be required to react to changing priorities and work circumstances, with the scope to make decisions within their own remit. While the role will involve daily communication and coordination with the Executive Director of Faculty Operations and Executive Officer, the role holder will organise their own day-to-day workload to meet their objectives. They will need knowledge of a range of IT systems and University processes to proactively support the efficient administration of the project.

You will be part of a wider executive support team based in 5 Tyndall Avenue, with opportunities for working at home under the university’s blended working scheme.

Please note, you will be required to work in the office on Wednesdays.

  • Providing complex diary management and support for the Executive Director of Faculty Operations.
  • Provide high quality personal assistant support to the Executive Director of Faculty Operations.
  • Servicing committees, which includes minute taking, calendar entries and ensuring that actions are closed and in-hand for the next meeting.
  • Proactively seeking to improve processes and keeping resources up to date

You must have a proven track record in administration particularly minute-taking. You will have excellent customer service and communication skills, with the ability to form effective relationships with staff and stakeholders at all levels and state a clear commitment to diversity and inclusion. You must be able to reprioritise your workload to react to changing priorities. You will have a supportive approach to work, with a friendly and positive disposition.

Contract type: Open ended

Work pattern: Part-time, 17.5 hours per week

Grade: F

Salary: £26,444-£29,605 per annum, pro rata
