Vacature beschrijvingWe are immediately looking for a temporary Executive Assistant (32-40 hours, 2 days on-site) in Rotterdam for one of our international customers that is known for its food & beverages, cleaning agents and beauty & personal care products.All applicants MUST have full legal authorization to work in the EU region independently and be fluent in both spoken and written English language.Position: Executive Assistant (hybrid 2 days on-site, 32-40 hours) Location: RotterdamOffer· Temporary agency contract for 6 months via Grafton for 32-40 hours with possible extension via the agency (not guaranteed)· Start date: mid-January 2025· End date: 30 June 2025· Salary depending on experience: max € 4.465,- gross per month based on 40 hours excluding travel allowance; Freelancers are also welcome to apply!· Working for a dynamic, fast-paced international environmentResponsibilitiesSupport UFS Chairman and CFO (WL5 and WL4).Time and diary management:

  • Arranging appointments, meetings, conferences, travel, departmental annual leave, managing excess leave accruals, diaries, etc.
  • Ensuring attendance of the senior managers at meetings on schedule with adequate preparation and information.
  • Effective communication with external contacts at a senior level and organizations that involve the LT and manager’s participation.

Screening, redirecting and responding to e-mails as appropriate. This may include typing general email correspondence and reports.Coordinate & lead Event Management: Arrange conferences, workshops, and special events for the team including venues, travel, entertainment, etc.

  • Support logistics management for Regional / Global workshops.

Support in preparation and follow-up of team meetings.Coordinate all aspects of meetings held on relevant sites (e.g., booking of rooms, catering).

  • Prepare presentations as required.

Ensure all approvals are completed within time frames for expenses on all relevant systems.Creating PO’s & Processing GRs (Good receipts in Coupa System) for TrainingsSupporting to Liaise with buying for vendor registration and management (creation of supplier codes etc.)

  • At the beginning of every month, ensure expenses are completed and sent to the relevant Accounts Departments.
  • Pay invoices for relevant suppliers.
  • Raise purchase orders as requested by LT and managers through Coupa and process relevant invoices.

Organize domestic and international travel, accommodation, and hire cars.Facilitates the effective operation of the work environment by:

  • Relieving the WL5-WL4’s of routine administrative tasks.
  • Screening visitors.
  • Maintaining records.
  • Promotes a teamwork environment by effectively liaising with senior staff and others on behalf of the WL5 and WL4, taking necessary follow-up action, and preparing progress reports as required.
  • Perform ad-hoc tasks for the LT, on behalf of the WL5 and WL4.
  • Provides effective secretarial support by performing all general secretarial duties.

Requirements

  • 4+ years as an Assistant supporting multiple senior-level directors or executives a must!
  • Experience working in FMCG or other multinational dynamic companies is desirable
  • Fluency in English is required
  • You thrive in a fast-paced dynamic setting
  • Ability to be discrete and maintain confidential information
  • Demonstrates flexibility towards work such as responding after hours for important,
  • timely, or urgent matters
  • Understanding of how to prioritize and respond accordingly
  • Strong written and verbal communication skills and the ability to multi-task
