We are seeking a temporary Executive Assistant for our Commercial and Marketing department for 6 months (December 2024).

Within the Commercial and Marketing departments, the Executive Assistant works closely with the Vice President of Commercial CE and the Vice President of Marketing CE as well as with their leadership teams.

The executive assistant provides administrative support, coordinates events and meetings, and acts as a liaison between executives and stakeholders. 

The Executive assistant handles sensitive information with discretion and assist with various projects, ensuring deadlines are met.

Key Responsibilities:

• Providing general administrative assistance to the VP’s and their leadership teams.
• Managing the VP’s calendar, including making appointments and prioritizing the most sensitive matters.
• Note-taking and log-book management for marketing and sales meetings at European level (this task can also be performed for cross-functional topics such as crisis management).
• Organizing regional Marketing and Commercial meetings, including scheduling, sending reminders, and organizing catering, hotels and transportation when necessary.
• Actively participating in the organization of European events taking place inside or outside CE HQ.

• Proficient in English (written and spoken)
• Capabilities of Problem-solving and Decision-Making:
• Bachelor’s degree in business administration or relevant work experience or equivalent qualifications
• Previous experience in Executive Assistant role is advantageous.
• Strong organizational and time management skills.
• Proficiency in Microsoft Office Suite and CRM software.
• Ability to work collaboratively in a team environment.
