If you are a proactive and organized individual with a passion to learn, we encourage you to apply.ResponsibilitiesMeeting/Event PlanningOrganize meetings, including scheduling, room reservations, and logistical arrangementsSupport the executive in preparing presentations and other materials, ensuring accuracy and qualityDevelop meeting agendas and ensure all necessary materials are prepared and distributedPlan and coordinate special events, such as conferences, seminars, and team-building activitiesCommunicationsMaintain an organized filing system for important documents, reports, and correspondencePrepare compelling presentationsSupport the approvals process by preparing and distributing necessary documentsScreen and prioritize incoming communications, including emails, phone calls, and messagesCollaborate with other administrative staff and executive assistants to ensure seamless operationsEnsure compliance with company policies and proceduresMaintain strict confidentiality of sensitive information and handle it with utmost discretionSpecial ProjectsCoordinate and assist with special projects as assigned by the Managing DirectorConduct research and gather information on various topics as requestedAssist in the preparation and distribution of meeting materials, taking notes, and compiling meeting minutes as requiredCreate action plans with clear roles, responsibilities, and deadlinesUtilize project management skills to coordinate and track tasks and deadlinesDrive people well being initiatives and eventsBudget/Expense ManagementManage budgets and track expenses to ensure adherence to financial guidelinesProcess expense reports and purchase orders accurately and in a timely mannerCalendar/Travel ManagementCoordinate the Managing Director’s calendar, including scheduling appointments, meetings, and travel arrangementsArrange travel accommodations, including flights, accommodations, and transportationQualificationsProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant softwareExcellent organizational and time management skills, with the ability to prioritize tasks effectivelyStrong verbal and written communication skills, with a keen eye for detailAbility to work independently with minimal supervision and as part of a teamDiscretion and professionalism when handling confidential informationFlexibility to adapt to changing priorities and deadlinesBackground in project management is preferredProven years plus office experience is preferred.
