Job Description

We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude. Energetic professional who doesn’t mind wearing multiple hats. Experienced in handling a wide range of administrative support related tasks and able to work independently with little supervision. Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people. 

To be successful in the role, you will need to be professional, polite, and attentive while also being accurate. You should always be prepared and responsive, willing to meet each challenge directly. Executive Assistant has to be comfortable with computers, general office tasks and excel at both verbal and written communication.  You will be the center of our new office in Budapest, organizing the daily tasks of the office, helping the engineers in their daily work, and cooperating with our global team.  
Your daily tasks are going to be:  
•    Oversee and organize office operation and procedures 
•    Purchase office-, lab- and kitchen supplies and maintain proper stock levels 
•    Manage purchase requests, keep frequent contact with sourcing  
•    Incoming invoice handling, keep frequent contact with accounting and finance 
•    Coordinate international (import and export) and domestic shipments 
•    Design, implement and improve filing systems, ensure filing systems are maintained and current  
•    Establish and maintain procedures for record keeping to comply with Hungarian rules and regulations 
•    Ensure security, integrity and confidentiality of data 
•    Coordinate domestic and international travel, including flight, hotel, and car rental reservations. 
•    Provide general support to visitors 
•    3+ years of office management, administrative or assistant experience 
•    Bachelor’s degree in Economics, Finance, Communication or in a similar field 
•    Fluent English and Hungarian knowledge both written and verbal 
•    Experience with import/export operations 
•    Experience with customs and customs clearance 
•    Experience in handling invoices 
•    Basic knowledge of Hungarian labor law 

To be a successful, you will need to have excellent time management skills and ability to multi-task and prioritize work, have attention to detail and problem solving skills, have excellent written and verbal communication skills and be skilled in organizing tasks and events.
