Job Purpose

To play a key role in the School’s Internationalisation team, working in partnership with academic and professional services colleagues to enable an effective and streamlined administrative service to support the creation and renewal of strategic international partnerships and to provide a first-class student experience for incoming partnership students. Contribute to the expansion and promotion of opportunities for both short- and longer-term student mobilities.  Track, monitor and support incoming students from application to completion of studies and provide data to Admissions, the College of Social Sciences International Team and Global Opportunities.

Main Duties and Responsibilities

Partnership support

•          Provide administrative support to the School Internationalisation team as they seek to create, renew and consolidate strategic partnerships at UG and PGT level by co-ordinating the sending and receiving of signed partnership agreements and data protection agreements as well as assisting in the preparation of bids/responses etc to international partners.

•          Ensure Partnership agreements, learning agreements, and incoming and outgoing student lists are accurate and kept up to date and acting as point of contact for international partner institutions, UofG Admissions, Academic Collaborations Office, Study Abroad Team, and the College of Social Sciences International Team.

Student Experience

•          Act as a point of contact within the School of Law for incoming partnership students, providing information on partnership arrangements in a timeous manner.

•          Support the onboarding of incoming partnership students with regards to registration and enrolment, liaising with the relevant school L&T team, Advising Administrator and Student Mobility and International Experience Coordinator. Act as a point of contact and support to incoming exchange students throughout their time at Glasgow.

•          Support with the set-up and maintenance of partnership Moodle sites and VLEs in conjunction with the school Learning Technologist and Student Mobility and International Experience Coordinator.

Engagement and Marketing Activity

•          Support the School of Law and College of Social Sciences Internationalisation agenda by raising awareness and helping to promote opportunities throughout the curriculum for international experience, e.g.  ‘taster visits’ for Law students, e.g. Strasbourg, Freiburg, Lund and Copenhagen, Summer School opportunities and Study Abroad.

Event Organisation

•          Support with the organization of School of Law information, orientation and social events for students planning to study abroad, incoming partnership students and Law with Languages students, including the production of publicity materials to promote the wide range of activities and opportunities that are available to international students within the School and College.

•          Support the School Student Mobility and International Experience Coordinator to create and maintain relevant web and social media content for international activities for internal and external audiences, liaising with the School Comms and Engagement Officer, and engaging with student groups to provide useful content.

•          Coordinating texts (from Schools and partners) for partnership web pages and social media.

Data Collection and monitoring

•          Track, advise and contribute to School action plans and international operational plans.

•          Support the Student Mobility and International Experience Coordinator with administrative tasks related to exchange, Study Abroad and short-term mobility opportunities for School of Law students, e.g. Tracking student numbers, course choices, financial transactions, and bookings to support the reconciling of expenditure for the School Mobility and Internationalisation budgets.

•          Liaise with UofG Admissions to track incoming partnership student applications and support the onboarding process for these students.

•          Liaise with the school L&T team to ensure accurate grade reporting and monitoring for visiting students and incoming partnership students.

Process Improvement

•          Develop streamlined and efficient data gathering mechanisms to monitor student intake to report incoming partnership student numbers to both internal and external stakeholders.  Extract information and produce reports from University Admissions data, and student records system reporting tools.

Travel and Meeting organisation

•          Support in arranging travel for strategic international partnership visits, short-term mobility opportunities and Summer Schools for the School International team and students in line with university procedures.

•          Arrange International team meetings: co-ordinate diaries and issue doodle polls to identify suitable dates.  Book meeting rooms, prepare agendas, papers, minutes and follow up actions for relevant committees.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential:

A1 Ability to demonstrate the competencies required to undertake the duties associated with this level of post having acquired the necessary knowledge and skills in a similar role.

Or: Scottish Credit and Qualification Framework level 7 (Advanced Higher / Scottish Vocational Qualification level 3, Higher National Certificate) or equivalent, and experience of personal development in a similar role.

A2 Strong IT proficiency, particularly Microsoft Office knowledge, including Word and Excel.

Desirable:

B1 Knowledge of the University of Glasgow systems, e.g., Moodle, MyCampus, T4.

B2 Knowledge and understanding of the higher education environment, structures, practices, and procedures.

Skills

Essential:

C1 Effective communication and influencing skills, both verbal and written, to be able to interact and collaborate effectively with a range of stakeholders including diverse functional areas and cultures

C2 Strong relationships building skills, demonstrated with different groups and contexts.

D1 Website maintenance and social media curation skills.

D2 Experience of minute-taking and clerking committees.

Essential:

E1 Experience in a relevant role with above qualifications or significant evidence of progression and development gained through relevant work experience.

E2 Experience of working with a wide variety of colleagues and key contacts, both internal and external to your immediate team/department/organisation.

E3 Experience of organising events and meetings and promoting participation with key audiences.  E2 Experience of delivering a customer-focused service for staff, students and external stakeholders.

E4 Experience of providing reliable, high-quality guidance and advice in area of expertise.

E5 Experience of creating operational plans to improve efficiency.

E6 Experience of working with senior staff with tact and diplomacy.

E7 Experience in using social media (Twitter/LinkedIn) and events organisation platforms like Eventbrite.

E8 Experience in online events software, like Zoom or Teams.

Desirable:

F1 Experience within a higher education setting, preferably in a student facing or administrative support capacity.

Terms and Conditions

Salary will be Grade 5, £25,138 – £29,605 per annum.

This post is full time (35 hours per week) and open ended.
