Short description GUBERNA, a leading non-profit knowledge center for governance located in Tour & Taxis district in Brussels, is seeking an enthusiastic Personal Assistant to the CEO. Are you organized, communicative, and skilled in both administration and finance? Then you might be their new colleague!Your roleAs PA to the CEO, you will be a pivotal figure within our organization.Responsibilities include:

  • Agenda and Correspondence Management: Efficiently plan appointments, manage inboxes, and maintain communications with internal and external stakeholders.
  • High-Level Meeting Support: Providing agenda management and documentation for meetings, including the Board of Directors and Board of Trustees, and provide logistical support during these sessions.
  • Finance Tasks: Handle and record incoming and outgoing invoices, prepare payment files, follow up on payments, and manage accounts receivable in collaboration with the external accountant.
  • Legal and Deadlines: Under the guidance of the Secretary General, you will be jointly responsible for the timely follow-up of legal formalities, publications. You help monitor the relevant agenda.
  • Event Support: Working with the Empowering Team to provide administrative and logistical support for their events.

Your hands-on mentality ensures smooth operations at every level.Your profileWe are looking for someone who:

  • Holds a bachelor’s degree or has equivalent experience (min. 3 years).
  • Is proficient in MS Office, particularly Excel (pivot tables, formulas).
  • Is bilingual (Dutch/French) with a good command of English.
  • Possesses excellent communication skills, customer focus, and professionalism.
  • Is flexible, well-organized, and adept at prioritizing and meeting deadlines.
  • Is collegial, friendly, balanced, and stress-resistant, with a positive and solution-oriented mindset.
  • Is proactive, solution-oriented and likes to take initiative.
