The SalesAdmin EU Team plays a key role in supporting the Research Sales Team field, and handling administrative tasks related to tenders, contracts, order management and overall operations.This is a permanent, full-time, hybrid position.Key ResponsibilitiesThe Sales and Administration Assistant will be responsible for the following key tasks:

  • Administrative Coordination – Ensuring a smooth flow of administrative tasks across various departments as part of our European Excellence Team, and driving local Order2Cash flows & tools
  • Data Management & Reporting – Maintaining accurate records in our internal systems, generating reports and providing administrative support to sales and european financial Teams
  • Invoicing & Order Processing – Coordinating billing and order processing activities, monitoring performance, and providing guidance and support to Team’s members. Actively operating on relevant projects invoicing, order validation, and follow-up processes
  • Customer Relations & Requests Management – Handling customers’ inquiries related to orders, product availability and invoicing issues, working closely with the relevant internal Teams (Sales, Technical Support, etc.)
  • Team Support -– Acting as point of contact for administrative and tender-related matters, including contract handling and internal communications, ensuring all deadlines are met and all tasks are carried out in a timely and efficient manner
  • Tender Management -– Participate in the tender submission processes, including supplementary admin document preparation, compliance checks, and submission tracking
  • Platforms management – updating profiles on national and regional Public Procurement Platforms (i.e MEPA, SINTEL, ..) and Supplier Registers

Office location: North-East area of MilanQualifications

  • Graduated in administration fields or life science (preferred but not required)
  • Minimum of 3 years of experience in an administrative and coordination role, preferably in office administration, sales support, or tender management.

Preferred skills

  • Fluent in both Italian (C2) and English (B2)
  • Strong organizational and multitasking skills
  • Proficiency with office software (e.g., Microsoft Office, CRM tools, D365)
  • Excellent communication and interpersonal skills, with a customer-focused approach
  • Ability to manage multiple tasks, prioritize effectively, and maintain attention to detail
  • Proactive, with a focus on process improvement and operational efficiency
  • Problem-solving attitude, with the ability to work independently and as part of a team

Nice to have

  • Proficiency in German
  • Previous experience in managing tenders or working within a tender office.
