Purpose

& Overall Relevance for the Organization

 

Manage all aspects around GBS H2R & Payroll for Poland and Baltic countries, including payroll process in cooperation with the external provider, Data Management,

HR documents along the employee life cycle, HR administrative, activities, Benefits administration and
Reporting.

Within the framework of GBS H2R & Payroll, we are providing excellent services and business competence regarding all HR Services related processes. As we strive to combine competent and professional business partnering with a constant enhancement of services in an efficient and value-adding way, the role is vitally supporting this target by following key responsibilities.

Key Responsibilities:

-Performing general and more complex administration of HR Services tools, programmes, and processes on a country and partially European and global level.
-Provide consultancy services and service excellence to the HR community regarding general and more complex issues.
-Handle standard & complex inquiries & support through ticket service or via phone (if required) to employees, HR, Finance and third parties.
-Perform within the GBS H2R & Payroll team all defined processes which are related to all employee life-cycle actions, including mobility topics.
-Create all kinds of HR documents along the employee life cycle such as employment payrcontractual packages, promotions, offboarding checklists etc. according to defined processes and standards.
-Perform and oversee bulk document creation and distribution processes
-Maintain personnel and organizational data according to defined processes and standards incl. mass uploads
-Ensure digitalization of documents and ensure a proper and accurate handled archiving of documents according to defined standards and processes
-Timely execution of standard and complex payroll tasks according to defined processes, schedules, and service levels in accordance with regional and local guidelines.
-Transmit employee lifecycle data to Payroll Provider, perform payroll validations and ensure Payroll Provider executes accurate payroll calculations.
-Support the continuous improvement of payroll processes and the use of systems.
-Timely reporting and preparation of declarations and ensuring appropriate communication with tax authorities, social security, and all other state institutions.
-Administrate all type of local benefits (Ariba tool including)
-Administrate the recharging of costs for mobility benefits.
-Handle reporting’s according to relocation, tax, and immigration data for national and international employees.
-Support Manager GBS H2R & Payroll in Internal and External Audits
-Support HR Partners and Finance Stakeholders in the review of OWM and TCoE reports.
-Participate regularly in workshops and meetings held by subject matter experts.
-Act as a role model in compliance with the relevant laws and regulations as well as adidas’ Fair Play Code of Conduct and other internal policies and company agreement.

Knowledge, Skills and Abilities:

-Good level of affinity to and experience with Business computing solutions, ideally with SAP HR, SAP SuccessFactors
-Knowledge of the Enova365 system HR and payroll module will be an asset
-Very good analytical skills and detail-oriented work style
-Ability to work with high volume and transactional administration issues
-Team player mentality
-Strong customer focus and service minded
-International mind-set
-Ability to work under pressure as well as prioritizes and completes tasks in order of importance
-Good understanding of Polish legal and tariff regulations (regarding Baltic countries – would be welcome)
 

Requisite Education and Experience / Minimum Qualifications:

-University Degree or higher
-2-3 years of relevant work experience, ideally within an international matrix organization
-Excellent command of English and Polish
-Strong experience with Business computing solutions, ideally with SAP HR tools
-Strong knowledge of MS-Office applications
-Specialized skills in Polish HR or Payroll area (for Baltics would be an added value)
-Experience in working with Payroll Provider
