You will prepare all relevant tender documents by verifying the administrative and technical requirements and ensuring written formal tender proposal response.Support the execution of tenders and contracts with public and private entities by coordinating activities with internal functions, ensuring compliance with company procedures and legal regulations.The position is ideally based in Italy or France, but we are open to discuss the possibility of working remotely from South Europe. The position is a 12 months contract for an additional resource within our Tender Team, explained by an increase in activity on the Italian Academic segment.What will you do?

• Efficiently track, download, and upload files within customer-specific portals to ensure documentation management
• Collaborate with the sales team to prioritize the opportunity pipeline
• Use all available tools, templates, and processes for Tender project management
• Conduct the “first pass” of each proposal and questionnaire utilising all knowledge bases to develop qualitative responses
• Collaborate with cross-functional teams to ensure alignment and meet both internal and external customer timelines and expectations, building positive relationships with Key Business Partners.
• Prepare of all relevant tender documents ensuring written formal tender proposal response by filling the administrative documents and verifying compliance to the requirements.
• Ensure compliance with legal and customer requirements for tender submission
• Track, download and upload documentation within customer specific portals and platforms.
• Support to the finance team in the administrative management of bank guarantees requests and recoveries.
• Co-ordinate the implementation of awarded contracts to secure orders and to drive customer happiness
• Lead project debriefings, analyzing any issues or problems that occurred during a project and applying lessons learned to the next proposal
• Ensure tracking of opportunities and live tenders to report and improve win rates
• Complete the electronic archiving of documents in accordance with established criteria
• Deliver process training for new account managers and provide regular updates
• Bring forward ideas and solutions for continuous improvement via active participation in team calls.

Knowledge, Skills and Abilities:

• Degree in Business Administration, Law, Business, equivalent work experience
• Experience in Administration of Italian Tenders, Contract Management or Customer Service
• Experience in working in a cross-functional environment
• Excellent organizational skills, able to lead a project with a given plan
• Well-structured, self-directed, persistent and detail oriented
• Knowledge in Excel & data manipulation and usage of web platforms
• Excellent communication and interpersonal abilities to work as a team
• Languages: Native Italian, spoken and written English are required,
• Travel – not to exceed 5%
