Job summary
The Scottish Forestry (SF) Executive Office Team covers four different areas as follows:
Corporate Planning and Corporate Responsibilities
We provide expertise on our corporate responsibilities as an executive agency, and work with colleagues across SF to deliver these and be compliant. We oversee our governance and decision making structures. We manage the corporate planning infrastructure and link in to the budget allocation and resourcing processes. We support the organisation’s approach to issues and risk management.
Information Governance
We lead on the the governance and our approach to the management of electronic and/or paper-based information. We develop and implement policies, procedures and guidance to ensure compliance with relevant legislation. We provide Data Protection advice to the organisation. We manage and triage the responses to any Information Requests and items of Ministerial or Official Correspondence.
Secretariat and Governance Support
We work closely with Private Offices, Directorate support and colleagues in Forestry and Land Scotland (FLS) to coordinate, allocate and monitor Scottish Forestry’s corporate work. We provide coordination for Ministerial contact and liaise with departments across Scottish Government. We provide PA support to the CEO, as well as administration support for events as required.
Media and Communications
We provide a professional communications service, communications advice and reputation management and manage the media monitoring service for SF. This encompasses our internal, external and digital channels and a press/media resource.
Job description
You will support the Executive Office Team to ensure Scottish Forestry is a high functioning, effective organisation, which meets its corporate responsibilities. You will play a central role in shaping how Scottish Forestry engages with our communities, stakeholders and Ministers transparently and pro-actively.
Main Duties
- Information Requests: Co-ordinate the triage of Information Requests across the organisation and lead on the preparation and submission of responses, providing a transparent, accurate, and timely service for requestors. Work with our FOI Unit colleagues and staff across SF to make improvements to this key service.
- Ministerial Liaison and Correspondence: Work with colleagues across SF to collate and prepare drafts for Ministerial, official and Scottish Forestry correspondence. Maintain records of Ministerial invitations, submissions, briefings and visits, and co-ordinate replies to meet deadlines for Parliamentary Questions, debates, Bills and parliamentary committees.
- Secretariat Support: Provide a service for our Senior Executive Team, preparing papers, agendas and taking minutes. Work with the other members of the Corporate Support Team to seek to continually improve our corporate grouping accountability by improving our practices to ensure an auditable flow of vital information and good record keeping of decision making. Ensure our Team records are created, organised, shared, retained and disposed of in line with business guidelines and requirements. Carry out tasks related to our Electronic Records and Documents Management System.
- Contribute to our progress towards being a transparent, effective, compliant organisation: Assist in the development and implementation of policies, processes and procedures in areas such as our Key Performance Indicators and Model Complaints Handling Process. Undertake qualitative research and the collation and analysis of internal data to show patterns and trends, and provide insights on our performance. Use these results to inform work with colleagues to push change and improvements.
- Line Management: Management of two Executive Office Assistants.
Person specification
Experience
Essential:
- Excellent organisation skills, with proven experience of effectively managing multiple and new demands across different work streams.
- Experience which demonstrates your excellent written and verbal communication skills which has enabled you to influence and lead others to achieve common goals.
- Experience of working with a range people on broad set of topics.
Desirable:
- Experience in developing policies, procedures or guidance.
- Working within the public sector or Government.
Technical
Desirable:
- Use of information management systems.
- Knowledge and experience of meeting requirements in relation to legislation on Environmental Information Regulations; Freedom of Information; and Data Protection.
- Demonstrable utilisation of a range of digital communication platforms and computer systems.
