The Heritage also offers guests a number of on site activities such as our Health Club with Leisure Pool, Jacuzzi, Sauna and Steam rooms, 5km Walking Track and Cinema.We are currently looking to hire a wedding & events coordinator to join our existing team.PURPOSE OF ROLE: Through the consistent delivery of high standards of product and service, promote a professional and positive image to all our guests and contribute to achieving the highest standards. To maximise sales & revenue earnings for the hotel. To identify & meet customers’ needs at all times.MAIN DUTIESØ Maximising sales & revenue for all business within the hotel.Ø Dealing with telephone, email and online enquiries.Ø To deal with both group and individual reservations.Ø Ensure weekly Event Sheets are sent out in a timely fashion to relevant managers on a weekly basis, ensuring all information is accurate.Ø Organise & manage all activities such as Weddings, Conferences & MeetingsØ To conduct wedding showarounds with potential couplesØ To follow up on wedding showarounds with couplesØ To meet with couples a few weeks before their wedding to discuss their final details for their big dayØ To ensure that each wedding runs smoothly by fully briefing operations team in weekly operations meeting in fine detailØ To ensure that the wedding bill is correct before leaving the hotelØ To follow up on any provisional enquiries for weddingsØ Assist revenue manager and reservations team on all wedding blocksØ Utilizing our wedding CRM system to full potential keeping all enquiries, provisional bookings and diary up to date at all timesØ Updating files and ensuring all correspondence are updated.Ø To liaise with all departments to ensure all requests are adhered to.Ø To make every call into a sale.Ø If requested, to attend corporate events outside of working hours.Ø Working as part of the ‘events team’ with close liaison & co-operation in particular with departments as Sales & Marketing, Front Office, Food & Beverage and all other areas that in-corporate sales & revenue for the hotel.Ø Identification and most particularly the follow-up of all events leads and enquiries into the hotel.Ø It is a firm policy that all enquiries & leads must be turned around and responded to within the same day.Ø Assist in the development & implementation of the sales & marketing plan.Ø To showcase our venue at the relevant domestic wedding fairs / tradeshows.Ø You will be required to reach targets that will be given to you by the Events Manager.Ø To liase with all members and potential guests on the phone and face to face in a courteous and professional manner at all times.Ø To deal with guests and members requests in a timely manner.Ø To answer all phone calls in a polite and timely manner and to assist all callers.Ø To be fully familiar with all groups, conferences and meetings in all areas of the hotel on a daily basis.Ø To identify and follow up all sales leads and enquiries for all hotel facilities.Ø Each guest complaint must be given correct attention, documented and a response given within 24 hours.Ø Ensure that a weekly revenue report is completed on upcoming Wedding business.Ø To participate in all training programmes scheduled for you.Ø To attend and support hotel and departmental meetings as requested.Ø To participate in job chats and performance appraisals.Ø To work towards achieving high hotel inspection results.OTHER DUTIESØ The above list in not exhaustive; you will be expected to comply with any reasonable request or duties as directed by Senior Management.Ø This hours for this role will be 39hrs per week, 5 days out of 7, weekends includedThe Heritage ‘Core Values’Our Core Values are the essence of what we stand for as a company and it is our vision to instill a people focused culture within the hotel.
