he Senior T&E Specialist, Corporate Card Administrator is responsible for managing corporate card initiatives and overseeing post-trip reporting related to travel and entertainment (T&E) expense reimbursements for the Europe region. This role serves as the primary point of contact for employees and management regarding corporate card qualifications, issuance, and administration, as well as T&E reimbursement processes.Key responsibilities include ensuring the accurate processing of T&E reimbursements, auditing expense submissions for compliance with corporate travel policies, and managing the final workflow of reimbursement approvals. Additionally, this role supports the reconciliation of company T&E expenditures and general accounting functions within the HARMAN Travel Services Group.Your TeamWorking under the direction of the HARMAN International Industries, Inc., Senior Director of Global Corporate Travel and partnering with the Global Corporate Travel Department.What You Will Do
- Corporate Card Administration. Serve as the primary point of contact for Human Resources, traveling employees, and Line Managers in managing corporate card processes. Responsibilities include processing new applications, canceling cards for departing employees, and reconciling outstanding balances for terminated accounts. Regularly monitor and deactivate inactive cards. Act as the internal expert for all corporate card-related inquiries and assist employees with expense report submissions.
- Partner with T&E management team. Contribute to the development of best practices and policy recommendations to optimize the expense reporting process. This includes providing analytical reports to the T&E team and company leadership to enhance efficiency and compliance.
- Educate Cardmembers on T&E Process Efficiencies. Clarify T&E reimbursement processes, policies, and corporate card payment expectations for employees. Educate cardholders on their responsibilities, liabilities, and the intended use of the T&E card. Assist employees in enrolling in online tools to manage and maintain their corporate card status. Encourage self-service for profile updates, such as address changes, phone numbers, and PIN management.
- Manage and Monitor Delinquent Accounts & Card Misuse. Regularly review delinquency reports, starting at 30 days past due. Notify cardholders of overdue accounts and provide guidance to help them bring their accounts current. Monitor improper card usage, such as personal spending, and assess whether escalation to a supervisor, Human Resources, or department head is necessary. Suspend cards for non-payment or misuse to ensure compliance with corporate policies.
- Optimize Corporate Card Incentive Plan. Maintain low Client Held-Days (CHD) to maximize incentive rebates for HARMAN at the end of each contract year. Achieve this by actively managing aging expenses in individual traveler card accounts. Assist in reconciling charge card balances monthly and notify cardholders of any personal balances due. Assess credit balances to determine whether refunds should be issued to the employee or allocated to HARMAN.
- T&E Reimbursement Administration. Support HARMAN Shared Service T&E Auditors in evaluating employee compliance with company T&E policies and procedures. Report potential fraud or policy violations to the Senior Director of Corporate Travel or the traveler’s Finance lead. Manage weekly T&E general ledger (GL) output files, ensuring data accuracy for ERP system uploads across HARMAN business units. Review system export files and oversee payment processing to various Accounts Payable teams for submission to the HARMAN Corporate Card provider in the EMEA market.
- Support and Promote New Technology and Process Improvements. Assist in implementing new technologies and process enhancements within HARMAN’s managed travel program. This includes supporting online statement retrieval, upgrades to T&E software, and optimizing internal workflows to improve efficiency and user experience.
- Crisis Recovery Support: Assist in developing and executing a crisis recovery plan for business travel during national or global emergencies, ensuring financial support for travelers. In cases where a corporate card becomes delinquent or canceled while a traveler is away from their home location, coordinate with the corporate card provider to maintain card functionality until the traveler returns.
What You Need
- Associates degree in the field of Corporate Card Administrator or Accounting desirable but not required.
- Experience in the field of corporate card and T&E reimbursement management desirable but not required.
- Capability of effectively communicating with all levels of management as well as travelers/travel arrangers.
- Must have strong speaking, writing, and interpersonal skills.
- High level of confidentiality expected as position deals with company financial data and employee personal information.
- Experience with change management techniques.
- Good computer skills with proficiency in Word, Excel, and PowerPoint.
- Skills needed – Active listening, reading comprehension, time management, writing, complex problem solving, internal service orientation, critical thinking and knowledge of budgeting.
What is Nice to Have
- Associate degree in the field of business travel or accounting 5 years or more progressive experience in the field of corporate card and T&E reimbursement management
