Administration Officer

Florian House – Ipswich

£26,592 – £27,992 per year

40 hours per week

We have an opportunity for an Administration Officer to join our Property Services team in Ipswich. Based in the office, you will be responsible for providing administrative support to the Supervisors, Operatives and other members of the wider team. Working primarily with the Operations Manager and Area Supervisors, you will be responsible for running reports, issuing work orders, dealing with enquiries and monitoring the shared inbox. This is a varied and challenging role that would suit an organised and proactive individual.

The role of Administration Officer will include:

-Providing daily administration support to Responsive teams, Void teams and Consultancy services
-Proactively creating and maintaining Excel documents with business information
-Organising and coordinating travel, accommodation, training events and team meetings when required
-Managing the shared mailbox and responding to complaints ensuring they are dealt with appropriately
-Answering maintenance related phone and email enquires
-Managing orders for work wear, PPE and stationery
-Supporting with HR meetings, contractor framework meetings, taking minutes and the recruitment of new staff
-Maintaining effective electronic and paper filing systems, administration and updating Toolbox Talks
-Raising purchase orders and further checking and modifying information in SAP systems
-Monitoring performance with use of BI Systems and preparing reports for the regulator
 

Skills and experiences:

-Previous experience undertaking a similar role within a facilities or estates environment would be desirable
-Proven experience of working to deadlines and prioritising workloads
-Demonstrable experience of producing and analysing data
-Ability to work independently and use own initiative
-Strong communication and interpersonal skills
-Proficient user of Microsoft Office packages, including Word, Outlook, Excel and Teams
