* This PART TIME (Up to 35 hours per week) hybrid position reporting to the office three days a week and will be located out of our offices in Little Rock, AR. Relocation assistance is NOT available for this posting *

* This position will be filled as an Administrative Assistant I, II, or III. based up on the experience and qualifications of the selected candidate. *

 

JOB SUMMARY/PURPOSE:
This is an opportunity to be the heartbeat of our Energy Efficiency program – the glue that holds it all together. As our Administrative Coordinator, you will be the maestro, seamlessly orchestrating the day-to-day operations and empowering our team to do their best work. With your keen eye for detail and natural problem-solving abilities, you will ensure that every project, report, and presentation is executed with precision. JOB DUTIES/RESPONSIBILITIES:

-Maintain accurate financial records, facilitate timely payments, and streamline related functions for Entergy Arkansas’s Energy Efficiency group that manages a $73 million dollar budget annually.
-Manage correspondence and routine documents and presentations given minimal direction. Prepare documents, spreadsheets, presentations, and interoffice correspondence.
-Monitoring payment deadlines,

verifying, and reconciling accuracy of data, researching invoice related issues, communicating with vendors and internal departments regarding invoice related matters and discrepancies, and following up on overdue payments.
-Provide secretarial and administrative support to Managers, Project Managers, and Engineers.
-Manage calendar, schedule events, travel arrangements, departmental meetings, and arrange conference calls.
-Manage administrative affairs of the department including but not limited to invoice processing, contract processing and contract execution, independent external auditing process, etc.
-Handle multiple assignments, work within deadlines, and maintain confidentiality of departmental issues.
-Be proactive in forwarding work issues to the appropriate managers/project managers/engineers.
-Assist in Arkansas Public Service Commission filings relating to energy efficiency.
-Gathering and organizing billing information, calculating costs and kWh savings, and ensuring the accuracy of invoice details. 
-Special projects, as assigned.
 

MINIMUM REQUIREMENTS: 
Minimum education:

-Typically requires vocational training, apprenticeships, or the equivalent experience in related field (not typically required to have a four-year degree)
 

Minimum experience:

-Assistant-Administrative I: 0-2 years of office/administrative/analytical work experience, or equivalent
-Assistant-Administrative II: 2-4 years of office/administrative/analytical work experience, or equivalent
-Assistant-Administrative III: 4-6 years of office/administrative/analytical work experience, or equivalent
 

Minimum knowledge, skills and abilities:

-Must be proficient in typing.
-Must be proficient in MS office tools – Word, Excel, and PowerPoint, etc. 
-Requires good customer services experience. 
-Strong verbal/written communication skills
-Requires the ability to maintain confidentiality.
 

Any certificates, licenses, etc.:

-Must be EEI SASS test recommended
-Candidates selected to attend SASS testing will be invited to do so *MONITOR YOUR SPAM/JUNK FOLDER

This position will coordinate all administrative functions and provides multifaceted administrative support to department management and staff. Responsibilities typically include scheduling appointments, coordinating incoming mail, maintaining the calendar, making travel arrangements, arranging meetings, etc.  Responsibilities also include tracking projects costs and programs associated with energy efficiency; and accurately producing a variety of reports and presentations using the appropriate software for power point, graphics and spreadsheets, preparing and/or updating functionally related to reports and records, developing and/or participating in special projects.
