About the role

The Business Support Supervisor role focuses on leading and enhancing the operational efficiency of the Central Business Support Administrators team. The role involves supervising the daily activities of the team to achieve operational excellence, customer satisfaction, and service quality. The supervisor ensures the team meets business support goals and key performance metrics within their specific functional area. This includes handling complex inquiries, fostering collaboration across various cross-country and functional groups to resolve issues, and driving continuous improvement and standardization projects. Plays a critical role in monitoring and evolving performance management processes, enhancing stakeholder communication, and ensuring compliance with internal policies and guidelines.

Your Responsibilities will include:

-Oversee the daily operations of the Central Business Support Administrators, who process and manage Internal Request Forms (IRFs) for Healthcare Professional (HCP) interactions, events, and activities. Responsibilities of the administrators include HCP documentation processing oversight, purchase order & invoice processing, as well as additional administrative duties such as coordinating travel and expenses, arranging meetings and appointments, and managing the logistics of marketing materials.
-Ensure high quality, accuracy and on time processing of the requests received by the Central team from the internal customers.
-Plan resources to guarantee service continuity, recommend effective team structure and process improvements
to achieve organizational goals
-Monitor team performance and service indicators continuously, initiates corrective actions, and prepares reports, summaries, analyses, and documentation on team management.
-Responsible for reviewing performance, support career development plans and objectives of the Central Administrators team.
-Motivate, guide and coach the team to achieve individual and team’s objectives.
-Ensure training requirements for Central Administrators are current and training is provided as needed – responsible to keep all documentation and work instructions accurate and up to date
-Foster strong relationships with key customers to achieve team goals – collaborate with the team to ensure excellent execution.
-Provide frontline support for customers regarding critical issues and value-added services, acting as the escalation point for the team to resolve complex issues, and coaching team members on problem-solving activities.
-Drive a continuous improvement focus across Business Support services and support Lean Business Processes (LBP) to improve core Business Support processes. Proactively explores future opportunities of standardization and provides recommendations and creates solutions for continuous improvement.
-Act as a point of contact for any change management activities and communications with stakeholders with respect to services provided.
-Ensure awareness and compliance with applicable standard operating procedures, comply and champion all quality and regulatory commitments of Boston Scientific.
Ensure policies and procedures are followed.
-Ensure the Team provides internal & external Audit administrative support linked to
HCPs interactions, events, and meetings.
-Supervise special projects as required.
-May support New Service Requests. Collaborate on EMEA and Local projects/assignments previously aligned and agreed by Business Support Manager &/or Business Support Director.
 

What are we looking for in You?

-Experience in a similar role in Shared Services/BPO or in the administrative department is preferred – minimum 2 years in the people leader role working as a Supervisor or Team Leader in the operational or administrative team.
-Strong leadership skills are essential, with the ability to adapt leadership styles as needed to drive change and foster development opportunities.
-Excellent interpersonal skills and a strong team player

-Highly self-motivated, with the capability to inspire passion and motivation within the team.
-Excellent communication skills with ability to build relationships by communicating, influencing, and negotiating effectively.
-Continuous improvement mindset to lead process improvements and to participate in projects.
-Problem solver with a strong orientation towards customer service.
-Results-oriented with strong analytical skills
-Ability to work effectively across different cultures.
-Fluent English, additional language will be an asset.
-Minimum Bachelor’s degree
