Clinical Engineering Administrator Job Specification:Applications are invited for the role of Clinical Engineering administrative support to join our team in delivering clinical engineering services to the Hermitage Clinic. The successful candidate will be an integrated member of the team engaged in maintenance and update of essential Reports, providing administrative support to the department and dealing with suppliers for the arrangement of external services. They will have knowledge to Intermediate or advance level of using Microsoft Office application especially Microsoft word and Excel and Ability to prioritise own workload. The individual will also have the capacity to converse with clinical staff for regular updates on jobs and arrangement of external services. The ideal candidate will be qualified to Leaving Cert or above and have post qualification experience in administrative/secretarial role in healthcare environment.Main duties of the job:Ø Cross site administrative/secretarial support for the Clinical Engineering Department.Ø Maintains Clinical Engineering database (PEMAC) as appropriate.Key areas of responsibility:Ø Maintaining and updating essential reports for Clinical Engineering Department.This includes monthly reports on all of the core services within the department:Ø Key performance indicatorØ To provide administrative support to the Clinical Engineering Department.Ø Liaise with other departments in the Hermitage Clinic regarding policy and administrative matters.Ø Liaise with Procurement and Finance Departments concerning orders and payments.Ø Place orders and follow up requisitions for spare parts and equipment requirements of the Clinical Engineering department under the direction of the Head of Clinical Engineering.Ø Deal with invoices, PO’s.Ø Maintains Clinical Engineering database (PEMAC) as required by Clinical Engineering TeamØ Inputting service reports into PEMAC.Ø Support Clinical Engineering with arrangement of services from external suppliers.Ø Liaise with other departments of the Hermitage Clinic regarding maintenance / repair of their equipment.Ø Support Clinical Engineering with packaging of equipment and collection arrangements for external repairs.General admin duties including:Ø Arrange meetings and minute takingØ Deal with phone callsØ Deal with correspondenceØ General administrative and secretary supportAny other duties as requested by the Head of Clinical Engineering and Clinical Engineering Team as appropriate to the grading and responsibility of the post.
