Job description

Your functionYour main responsibilities are:

  • Supporting the Company Secretary in the organization and preparation of Ageas’ Board of Directors, Advisory Committees, and Executive Committee meetings (sending meeting requests, distributing meeting materials, maintaining committee composition records, tracking attendance, etc.);
  • Coordinating and arranging logistics for all Executive Committee and Board Committee meetings, both onsite and offsite;
  • Providing ongoing support to external Board Members, including travel arrangements and expense reimbursements;
  • Creating, managing, and uploading meeting documents via the eBABS tool;
  • Preparing and submitting information required by the NBB and FSMA, including registration of new mandates and changes in Exco and Board, ensuring compliance with regulatory obligations;
  • Monitoring and following up on invoice approvals and payments related to governance activities;
  • Tracking developments in governance regulations, issuing recommendations, and coordinating action plans for timely implementation;
  • Supporting the drafting and updating of governance documents and procedures
  • Building efficient and friendly collaboration with the other PA’s of the Executive Committee to ensure alignment of agenda’s

Your profile

  • You have preferably 3 to 5 years of experience in a similar role, ideally within the financial services or insurance sector; experience as a (para)legal assistant is a strong plus;
  • You are fluent in Dutch, French, and English, both written and spoken;
  • You are highly organized and structured in your way of working;
  • You demonstrate a strong attention to detail and concern for accuracy;
  • You maintain the highest level of discretion and confidentiality;
  • You are autonomous, proactive, and solution-oriented;
  • You have strong problem-solving skills and are a proactive thinker;
  • You have proficient knowledge of Microsoft Office tools (Outlook, Word, PowerPoint, Excel);
  • Experience with governance software is an asset
