  • Support the Corporate Secretary with organizing and preparing meetings for the Board of Directors, Advisory Committees, and Executive Committee (e.g. sending invites, distributing materials, tracking attendance, and maintaining composition records).
  • Coordinate and manage logistics for executive and board committee meetings, both onsite and offsite.
  • Provide administrative support to external board members, including travel planning and expense reimbursements.
  • Handle creation, management, and upload of meeting documents via a governance software platform.
  • Prepare and submit regulatory filings related to executive and board mandates, ensuring full compliance with legal obligations.
  • Monitor invoice approvals and payments for governance-related activities.
  • Track regulatory developments in corporate governance, support the implementation of necessary changes, and provide recommendations.
  • Assist with drafting and maintaining governance documents and procedures.
  • Collaborate closely with executive assistants to ensure aligned agendas and smooth coordination.

Strategic position Fast-paced and challenging corporate environment

  • Minimum 3 years of experience in a similar administrative or governance support role, ideally in financial services or insurance; experience as a (para)legal assistant is a plus.
  • Fluent in English (written and spoken), knowledge of Dutch and/or French is an asset.
  • Highly organized with strong attention to detail and discretion.
  • Autonomous, proactive, and solution-oriented with strong problem-solving skills.
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with governance software is an asset.
