IFC’s Human Resources (HR) Department provides strategic partnership to the business to develop and implement workforce strategies and meet organizational goals, including attracting, developing and deploying diverse and skilled talent.
• Client Services – offers strategic HR partnership, program implementation, support and solutions to staff and management globally;
• Diversity, Equity, and Inclusion – supports the organization to build a diverse workforce, embrace equity, and foster an inclusive workplace;
• Employment Framework and Recruitment – develops and supports HR strategy, policies/procedures, communications, and knowledge management; drives HR initiatives, such as staff engagement and Board reporting; and delivers recruitment solutions;
• Talent and Incentives – designs best practice HR solutions in onboarding, mentoring, career management and mobility, performance/talent management, incentives and awards, and leadership development.
IFC is seeking a Senior HR Assistant/Recruitment Coordinator (Extended Term Temporary) to be based in Paris, France to support the Global Human Resources Client Services Manager (GCSM) and the rollout and strategic implementation of an end-to-end recruitment model in the Europe region. The position will report to the GCSM with dotted line reporting to the Global Recruitment Team Lead. This is an ideal position for a current HR and/or Recruitment administrator/coordinator.
Duties and Accountabilities:
Human Resources Assistant Duties include:
• Manage and support the Manager’s Calendar and travel arrangements, and act as global meeting support for the GCSM and her global team.
• Support and assist (and in some cases develop) editing, formatting, production of documents/correspondence, power point presentations and excel sheets.
• Independently prepare, coordinate, monitor correspondence and ensure that relevant background materials are available (for meetings) and deadlines are met.
• Screen, track, prioritize, and appropriately channel requests to ensure timely attention to issues. Independently respond to extensive and diverse inquiries; make decisions when multiple courses of action are possible. Provide consistent and timely monitoring and follow-up on workflow to the GCSM.
• Establish and maintain an effective network of contacts, both inside and outside the unit, to ensure effective cooperation in support of HR needs.
• Handle other ad-hoc duties as assigned by the Manager
Senior Recruitment Coordinator Duties include:
• Support and execute the full lifecycle recruitment process, in collaboration with an aligned recruitment officer, from job posting to candidate onboarding for all requisitions in the region.
• Track adherence to metrics on time to fill, workforce plan completion, diversity of hires, Hiring Manager experience, and candidate experience.
• Follow up proactively with Recruitment Officers and Hiring Managers to track recruitment status and manage the recruitment and appointment process, including posting vacancies, updating candidate status, scheduling job launch meetings and interviews, administering recorded video interviews and assessments, managing online interview forms, liaising with candidates to gather required information, coordinating on the salary offer, issuing the appointment letter, coordinating with global mobility teams on benefits and relocation, initiating onboarding, and administering the background screening process.
• Conduct longlisting, with due attention to business requirements.
• Assist Recruitment Officer to develop and maintain talent pipelines and candidate sourcing channels.
• Support talent outreach events in the region and actively promote IFC as an employer of choice.
Selection Criteria
• Bachelor’s degree with at least 4 years of experience handling high volume administrative and human resources transactions, including recruitments, or equivalent combination of education and professional HR experience.
• Excellent English and French, with the ability to provide clear and consistent communication both in writing and verbally, including preparing professional emails, reports, and presentations.
• Proficiency in Word, Excel, and PowerPoint.
• Strong attention to detail.
• Excellent customer service skills and responsiveness, ability to manage multiple demanding clients.
• Initiative, resourcefulness, and creativity in solving problems and getting tasks done. Positive, open, collaborative, discreet, and able to maintain confidentiality.
• Ability to deal sensitively with others in a multi-cultural environment.
