JOB PURPOSE

As an Executive Assistant you will manage the Secretary General’s schedule in the short, mid and long term to facilitate the effective use of her time. You will collaborate with other members of the office to coordinate the Secretary General’s internal and external agenda.

The Executive Assistant will manage confidential interactions between internal and external individuals and ensure that the Secretary General and other key staff members are aware of it.

ABOUT YOU

We are looking for an Administrator who has sufficient experience managing an executive level calendar and planning extensive international and domestic travel. You will have excellent interpersonal skills to interact with staff and stakeholders including Board Members, donors, media and government officials.

The successful candidate will make decisions consistent with functions and complete and delegate tasks in a professionally and timely manner. Finally, the candidate must be fluent in English through writing and speaking.

MAIN RESPONSIBILITIES

  • Manage the day-to-day calendar of the Secretary General to promote the most effective use of their time.
  • Ensure effective time management of the Secretary General and anticipate opportunities to facilitate workflow, including alignment with organizational priorities in mid- and long-term planning.
  • In collaboration with the OSG team, plan, coordinate and support internal and external meetings, including taking minutes when necessary, preparing materials and following up on action points.
  • Fill in for other members of the OSG, including supporting travel and scheduling arrangements for the Secretary General (arranging transportation and hotel bookings, ensuring that calendars are kept up to date with relevant briefings and logistical arrangements, and assisting in securing visas as needed).
  • Implement and manage office systems including digital filing systems, as well as document and content management systems.

SKILLS AND EXPERIENCE

  • Prior executive-level office/administration experience and exceptional organizational skills with meticulous attention to detail.
  • Ability to adapt to various competing demands, working under pressure, and demonstrate the highest level of collegiality, consistency, and professionalism in following through on responsibilities is required.
  • Proven ability to work independently and with minimal supervision, using initiative and judgment to develop effective solutions to challenging situations.
  • High degree of adaptability to and the understanding of the need to shift work priorities when required.
