This role requires a proactive, meticulous professional capable of handling a wide range of tasks with discretion, efficiency, and impeccable organization. The ideal candidate will excel at coordinating schedules, preparing reports, and handling confidential information, all while maintaining a professional and empathic demeanor.The person will report to the Vice President General Counsel Europe, who is based in The Netherlands. The VP General Counsel Europe is responsible for all legal matters within Hub Europe. The Legal Hub Europe consists of 50+ lawyers and contract managers based all over Europe and organized into 5 sub-regions. The Hub provides high-quality legal advice to a fast-growing business and acts as a business partner to our four Business Areas (Gas Services, Grid Technologies, Transformation of Industry and Wind Power).How You’ll Make an ImpactProvide comprehensive executive support, such as complicated calendar management including scheduling meetings, raising Purchase Orders, making travel arrangements and creating expense reports.Prepare and review documents, presentations, and reports for internal and external meetings, ensuring high quality outputs.Coordinating communications between leadership and other departments, clients, or external partners.Organize and facilitate team meetings, including preparing agendas, taking minutes, and following up on action items.Support special projects by coordinating tasks, tracking breakthroughs, conducting research and compiling data and ensuring timely completionAssist in managing departmental budgets, processing expense reports, and maintaining accurate records.Organize and maintain the executive’s files and records, both physical and digital, ensuring confidentiality and accessibility.Support HR-related tasks, including onboarding new employees, coordinating training, and managing internal communications as needed.What You BringProven experience (at least 5 years) as an Executive Assistant, preferably within a global corporate or fast-paced environment. Experience with legal and compliance organizations, project management and/or consulting is valued.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software (e.g., Teams).Strong verbal and written communication skills in both English and Dutch, with excellent attention to detail.Exceptional organizational and multitasking skills, with a proven track record to prioritize and adapt to shifting target date. Ability to handle critical and confidential information with discretion is fundamental.Positive approach, professionalism, and the ability to work independently as well as in a team.
