OVERVIEW OF THE FUNCTIONS OF THE POST

Under the overall authority of the Chief, Talent Management and Outreach Section, and under the direct supervision of the Senior HR Officer, the HR Assistant will ensure administrative support related to the talent outreach, HR partnerships and recruitment operations, as required.
The incumbent will have the following responsibilities:

Administrative Support

  • Support the recruitment process for the various HR partnership arrangements, i.e.

JPOs, sponsored trainees and loaned and seconded staff, by managing vacancies, reviewing applications, administrering online assesssments and coordinating interviews using applicant tracking system (ATS), online assessment tool and other internal HR applications.

  • Assist with the preparation of recruitment documents and communication with applicants and external counterparts (donors, sponsoring organizations etc).
  • Ensuring timely follow-up with applicants and providing the necessary information and support throughout the recruitment process.
  • Provide general administrative support to the Talent Outreach and HR Partnerships teams.
  • Scheduling, calendar management and coordination of meetings and appointments.
  • Prepare and process documents, correspondence and reports relating to Talent Outreach and HR Partnerships activities.
  • Monitor partnerships agreements; Prepare budget estimates for HR partnership arrangements using templates.

 

Onboarding and training

  • Support the team in the induction process for new recruits (YPPs, JPOs, Sponsored trainees);
  • Assist new recruits with administrative tasks related to their onboarding.

Liaising with the Benefits and Entitlements team, the Protocol Unit and other relevant departments to facilitate their onboarding.

  • Maintain files on new recruits and ensure that all induction procedures are completed efficiently.
  • Help organise training activities, mentoring and coaching sessions.

 

Talent outreach

  • Help organise and coordinate outreach events, job fairs and information sessions and missions;
  • Support the preparation and dissemination of outreach materials, presentations and communications (using appropriate visual applications), including through social media, careers website;
  • Support direct candidate sourcing using LinkedIn Recruiter to assist HR Officers and hiring managers.

REQUIRED QUALIFICATIONS

Education

  • Completed secondary, technical and/or vocational education.

Experience

  • A minimum of 5 years of relevant administrative experience.
  • Experience in human resources and/or recruitment.

Skills and competencies

  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in using office software, including Microsoft Office Word and Excel.
  • Proficiency in presentation and visual applications (Power Point, Adobe, Canva, etc.)
  • Knowledge of LinkedIn and other social media for outreach purpose.

  • Ability to work independently and collaboratively within a team.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Discretion and ability to handle confidential information.

 

Languages

  • Excellent knowledge (oral and written) of English or French and good knowledge of the other language.

DESIRABLE QUALIFICATIONS

Work Experience

  • Experience in an international/multilateral organization.

Languages

  • Knowledge of other official UNESCO languages (Arabic, Chinese, Russian or Spanish).

BENEFITS AND ENTITLEMENTS

UNESCO’s salaries consist of a basic salary and other benefits which may include if applicable: 30 days annual leave, family allowance, medical insurance, pension plan etc.

The approximate annual starting salary for this post is 43 734 Euros.
