Williams Lea employees, nearly 7000 people worldwide, who provide efficient business services at client sites in often complex and highly regulated environments, from centralised Williams Lea onshore facilities, and through best cost company offshore locations.Purpose of roleThe Legal Administrator’s principal role is to provide the client with the administrative support they need to provide seamless legal services to their customers and help them maximise the amount of time they are able to spend on fee-earning tasks.Key responsibilitiesVirtual diary managementUpdating data on CRM systemProviding a defined administrative service, including file opening and closing, following standard operating proceduresRaising queries and concerns with designated individuals, as requiredRecording tasks and other management information, as requiredCompleting reporting tasks, as requiredProducing and maintaining Excel spreadsheets, where requiredLiaising with fee earners, PAs, secretaries and other business support departments as requiredAnswering the telephone, taking messages and returning callsContacting customers of client firms to gain personal and/or matter related informationTaking an active role in the care of clients and being wholly familiar with all processesEntering, maintaining and updating details and relevant information on the client systems as requiredAssisting others whenever there is spare capacity or where a colleague needs assistance with their workloadWorking effectively with other legal and support departments as requiredPersonal attributesA legal administrator values quality and delivery of work above all else and has the responsibility to ensure that their skill set is up to date and they are familiar with the company and client’s departments, key personnel, internal systems and procedures. This will ensure that they are able to carry out their role effectively and, where appropriate, discuss any training requirements with their line manager.You should also have;Advanced knowledge of Microsoft Word, Outlook, Excel, PowerPoint, research tools and other systems implemented by the firm.Excellent telephone manner and competent knowledge of telephone systemsExcellent communication, organisation and team skillsExcellent attention to detailFlexible and dependable, able to take the initiativeAble to remain clam under pressure and work to tight deadlines and defined SOPsConscientious, approachable and enthusiasticAble to quickly build confident, respect and trust with othersHave a positive approach to daily tasks and have a solution focused working methodRewards and BenefitsWe believe in supporting our employees in both their professional and personal lives.
