In turn, our competitive salaries, attractive benefits, and potential for career growth allow you to take on opportunity with confidence.”About the role:To support the Marketing team in the delivery of a wide spectrum of Marketing activities as per strategy, be it line of business, regional or corporate-focused, by taking care of related administrative tasks including a strong and hands-on involvement on events and the ability to support on content admin on digital platforms such as the website and company intranet.Reporting to the Senior Marketing Manager, working closely with the Coordinators on events, brand and projects, and alongside fellow assistants on the team to ensure the team is on track in achieving our team objectives, our standards are maintained, and our international and corporate goals achieved.Key Responsibilities:
- Assist in the coordination and organisation of designated internal and external events from sourcing and booking venues to ensuring all requirements are met, room size, catering, AV equipment, photography, and press coverage, as well attendance registers.
- Assist in setting up virtual and presential events, handling all registrations. Producing all delegate information, badges, delegate lists etc.
- Along with other team members designated to this task, be this team’s point person for small content updates on our companywide website and content improvements on the company intranet.
- Collaborate with the comms team on adding copy onto design and PowerPoint templates and aid in its formatting and distribution. (Emails, letters, memos, faxes, presentations, and other marketing documents to internal and external stakeholders).
- Be the first port-of-call for some vendors (designers, videographers, and printed materials providers)
- Ensure pertinent department databases are kept up-to-date and correct (distribution lists, website content trackers, and client databases …)
- Ensure Marketing documentation (physical and electronic) relevant to your focus of activity, is up-to-date, and well-organised on our intranet and share drives
- Maintain our intranet page and share drive folders, being instrumental in maintaining our filing and keeping good working order at the Marketing desk
- Liaise with the admin centre for expense and travel arrangements relevant to events
- Along with the team assistant, oversee the good management of our project work tools and trackers
- Manage event calendars
- Support, as an active member of the global marketing team on group marketing projects
- Carry out preliminary marketing research if needed
Skills And Competencies Required:
- Marketing or Admin degree or equivalent
- Fluent in English and Spanish, any other language would be an asset
- Minimum 2 years marketing events experience, ideally in a corporate environment
- High degree of user proficiency with traditional Microsoft Office Suite (Word, Excel, Power Point etc.) and Office 365 (Teams, Engage, Planner, etc.)
- Effective collaboration skills
- Excellent organization skills and paying attention to detail
- Excellent prioritisation, organisation and time management skills
- Superior document production and formatting skills (redlining and managing revisions)
- Able to cope with a dynamic and demanding environment, able to meet deadlines
- Common sense approach
- Enjoy working in an international environment
- Team player
- Availability for travel a must
Skills And Competencies Preferred:
- Experience with Adobe (Design and Video), CMS systems such as Sitecore and Umbraco, marketing e-mailing platforms, and SharePoint.
- In addition to Spanish and English: French, Italian or German language skills
- B2B industry experience
