The role:
You will be responsible for overseeing the day-to-day operations of our office and ensuring efficiency and compliance with company policies and procedures. You will also need to have the ability to create a welcoming environment in the workplace, seamlessly collaborating with diverse teams, and smoothly managing events.
Responsibilities:
- Ensure premises upkeep and compliance with life, safety, and hygiene rules (DUERP).
- Manage relationships with suppliers, service providers, with a focus on LNB, our operator.
- Source and evaluate service providers based on current issues (CSR, disability, social inclusion, etc.).
- Oversee renovations, space optimization, decorations, and various office purchases.
- Maintain constant communication with the IT manager and HR in Paris for managing the IT fleet.
- Handle incoming and outgoing mail and parcels.
- Manage the office email address.
- Onboarding/offboarding processes.
- Anticipate talent needs and propose activities with a defined budget.
- Track budgets, adhere to invoicing processes, and create an ideal working environment.
- Assist in organizing events and welcome clients & invited guests.
- Identify agency talents, positions, teams, and respond to talent requests.
- Propose ideas to improve the welcome experience for visiting Monks from around the world.
Experience:
- Proficiency in both French and English
- Technical and computer skills required (preference for Google Suite)
- Organised, adaptable, with a sense of service and priorities.
- Autonomous, diplomatic, proactive, and able to maintain confidentiality.
