PARTNERSHIP OFFICER
The Partnership Officer will lead on liaison and coordination with the different organizations we work with, and actively support transformative partnerships and local humanitarian leadership agenda to be stronger and visible in Iraq. The person will be responsible for effective communications, visibility of partners’ work on LHL and partnerships, coordination with all stakeholders involved, coordination of capacity strengthening and exchange processes in different projects in the country.

This role will work closely with the DCD and will get advice and inputs from Partnership Manager time to time. The role will coordinate with local and national partner organizations, and will also work in collaboration with different programs, themes including humanitarian, advocacy, campaigns, gender, protection etc. as well as with global LHL practice group. |

key responsibilities |
- Programme partnership and partners’ support:
- Lead in mapping for partners in all governorates Oxfam activities cover.
- Conducting partner’s assessment and partners mapping in all governorates Oxfam activities cover
- Lead partner assessment visits in coordination with Partnership team and Technical advisors.
- Ensure relevant policies are shared with all partners as required in assessment tools
- Act as local partners’ focal point and respond to partner’s requests in a timely manner.
- Liaise with partners on weekly basis to follow up on challenges of implementation or new requests and keep records accordingly
- Act as local partners’ focal point and work with capacity building advisor and manager to respond to partner’s requests in a timely manner
- Provide feedback for background checks tool to support assessment and strategic fit of local organizations.
- Responsible for the management of documentation for partners related activities as per Oxfam standards to make sure is clean, tidy and well organized at all times.

- Collaboration and Coordination:
- Prepare and review Programme and Project managers in processing partners’ letters of agreements and grants payments to partners
- Coordinate with the Media and Communication team for visibility of partnership in Iraq and also upgrade the profile of the programme by reflecting stories and lessons learnt.
- Coordinate with Oxfam team across the Iraqi programme, to identify learning on MEAL, HR, Funding and Finance.
- Assist on other tasks as requested by the Line Manager and as deemed necessary for programme development.
- Support in simultaneous translation from English to Arabic, Arabic to Kurdish and vice versa when needed including in communication with partners and through training workshops
- Support development and adaptation of evaluation and assessment tools and guidance (for training)
- Organizational tasks:
- Organize monitoring trips to partners liaising between technical coordinators, Partnerships team, Programme Management in field offices and partners’ management
- Record and archive minutes of meeting and visit reports to partners and relevant stakeholders
- Responsible for archiving and documentation of project data. Including creation of adequate tools and uploading it on BOX for Management information and review.
- Prepare, keep and update hard copies of partners’ and projects’ files
- Lead on organizing Kick-off workshops and capacity building events as requested by PM, liaising with Logistics and Finance departments
- Prepare per diem and Transportation Payment sheet for Oxfam trainees.
- Provides general administrative and clerical support including mailing, scanning and photocopying for partnerships team.
- Maintain electronic & hard copy filling system of partnership program Admin related files.
- Assist in resolving any administrative problems and inquiries.
- Assist in preparation of regularly scheduled reports.
- Maintain and update contact lists for partners and trainees.
- Prepare and modify documents including correspondence, reports, drafts memos and emails in supporting Oxfam Iraq Leadership
- Schedule and coordinate meetings and appointments for partnerships and capacity development manager and the team.
- Support the Oxfam Iraq Leadership in record, compile, transcribe and distribute minutes of meetings for particular partners
- Make travel and accommodation arrangement for partnerships team and Oxfam Iraq Leadership in close relation with the Admin Officer and Logistics team in different Oxfam offices in Iraq.
- Provide general support to visitors and clients.
- Provide leadership on formulation, interpretation & implementation of Admin policies, and practices
