Contract Scope:
The contract will deliver a 12-month human resource (HR) systems improvement project to transform our systems and integration. This will result in the reduction of administration, bureaucracy, cost, time and errors in our HR (Human Resource) services. It will facilitate clear consistent processes; transparent and faster operations; consistent data, reporting and insights led decision-making; improved candidate and staff experience; better informed hiring decisions; improved networking; clearer organizational design: facilitate workforce planning; ensure compliance; and improve talent management and overall organizational performance. This is crucial in revolutionizing our people management tools across IPPF (International Planned Parenthood Federation) as we move towards the integration of our ATS (Applicant Tracking System), HRIS (Human Resource Information System), Payroll, LMS (Learning Management System), staff survey and finance systems.
Deliverables:
- Deliver the HRIT roadmap and lead on implementation of activities to achieve the strategy.
- Overseeing planning, execution, delivery, change management, third-party supplier coordination, and comprehensive reporting liaison with internal departments.
- Create a business case for the Programme of system improvement across HR.
- Lead on selection, implementation, management and optimization of HR Technology.
- Build an HRIT working group to inform and progress systems improvement work.
- Provide advice, guidance and training to the global People team in relation to HRIT to ensure we have a sustainable capability at the end of the project and effective HRIT administrative function.
- Setup a robust and effective data governance framework.
- Support the building of training materials for all people across the Secretariat to build adoption and compliance.
- Work in close collaboration with People Partners across our regions to ensure we identify and implement opportunities to improve business processes in relation to HRIT.
- Collaborate hand in hand with Supplier teams to execute intricate system processes, from imports/bulk. updates to crafting new fields/tables/pay elements, uploading absence data, configuring terms and conditions system parameters, managing backend databases, and overseeing security.
- Support the cleansing of any data this is not up to date or is inaccurate and ensure all appropriate data is imported to new systems from FocalPoint or other sources.
- Oversee system testing scripts/scenarios and orchestrate User Acceptance Testing.
- Collaborate with Supplier Project teams to ensure the fast and seamless rollout of the system, harmonizing efforts with overarching project aims.
- Forge close alliances with internal stakeholders, spanning the existing system supplier, external third-party collaborators, and internal departments like IT (Information Technology) and Finance, to grasp end-user requirements and provide refined recommendations for a streamlined and efficient project delivery process.
- Oversee the capture of reporting and analytics requirements, guaranteeing the precision and accessibility of data.
- Collaborate with both internal and external teams to craft bespoke dashboards and reports.
- Find opportunities for enhancement, aimed at elevating the end-user experience and streamlining administrative processes.
