Do you take pride in having an overview and being one step ahead?If so, we are looking for a Personal Assistant and Team Coordinator to support our Director for Corporate IT and our Senior Vice President for Impact as well as their two teams, and we hope you will consider this position.About the jobYou will be anchored in our Corporate IT team but will be split 50/50 between them and the Impact team, whose Senior Vice President you will also assist.Your tasks as Personal Assistant for the two department heads will, amongst others, include:

  • Managing and maintaining the managers’ calendars and preparing materials to ensure that they are well-prepared for all meetings and events
  • Organizing meetings and booking trips for the two managers
  • Managing and approving expenses, and handling the departments’ budgets
  • Supporting the managers in our annual people processes, such as performance management reviews and engagement survey, as well as planning team development workshops
  • Participate in leadership team meetings in the two departments and follow up on actions

As Team Coordinator in the two departments, your responsibilities will include:

  • Being responsible for general administrative support in the areas, e.g., proofreading materials, facilitating team meetings
  • Preparation and logistics for events and meetings
  • Plan team off-sites and workshops
  • Supporting recruitment and onboarding of new colleagues

Please be aware that this is an on-site position.You will join a strong network of Personal Assistants in the Novo Nordisk Foundation where you will have the opportunity to share knowledge and gain valuable insights.You will refer to the Head of Corporate IT, Director Niels Pærregaard.About youOur ideal candidate is flexible, highly organised and very proactive. You thrive in a busy and innovative work environment, and you have a strong sense of professionalism. You have at least three years of work experience as a Personal Assistant, Coordinator or Administrator and ideally have worked in a setting supporting multiple teams or people.We expect that you have:

  • A sense of urgency and attention to detail, with demonstrated ability to handle sensitive and confidential information with discretion
  • Excellent interpersonal and communication skills
  • Ability to follow up on tasks in a persistent and pragmatic way
  • Proficiency in MS Office; Word, Power Point and Outlook
  • High proficiency in English and Danish, both spoken and written
