Personal Assistant to Senior Executive

Based in Amsterdam, Netherlands

We are looking for a Personal Assistant / Executive Assistant to provide a complete, effective and professional PA secretarial and administrative support service to the Executive VP of this successful Group.

This PA role would ideally suit someone with an existing experience as a PA, responsible, discreet and confident as the company is a dynamic business.

* Organising and maintaining diary and making appointments;

* Coordinates and organises regular meetings and appointments with the operational team and managers
* Producing documents and letters, briefing papers, reports and presentations;
* Support the RVP with preparation for audits and stakeholder visits
* Dealing with incoming email, faxes and post, often corresponding on behalf of the manager;
* Screening phone calls, enquiries and requests, and handling them when appropriate;
* Attend meetings and taking minutes
* Meeting and greeting visitors at all levels of seniority;
* Liaising with clients, suppliers and other staff.
* Prepares presentations as needed by the operations
* Arranging travel if required, visas and accommodation and, occasionally file expenses
* Project support and other administrative tasks as needed

The Ideal Candidate

As the PA to the Executive VP it is essential you can demonstrate the following skills and competencies:

* At least two years previous experience in a similar role (ideally within Hospitality Environment)
* Impeccable presentation and grooming standards at all times
* Computer Literate – Competent using Email & Microsoft Office- Excel, Word & Powerpoint
* An excellent command of the English Language both written & orally
* Ability to maintain confidentiality and discretion at all times
* Ability to be flexible, with a systematic and methodical approach to work
* Good organisational skills including the ability to work to deadlines and to prioritise workload.
* Ability to communicate effectively with people at all levels with a confident and presentable manner
* Ability to act on own initiative and work without close supervision
* Ability to adapt to all situations
* Ability to display professionalism
* Great interpersonal skills and personal professional presentation by maintaining a correct standard of dress and grooming as laid out in the venue’s grooming policy
