Job description

This is an exciting opportunity to work as a Programme Manager of a busy and vibrant team within FoLSM. The post holder will manage a programme support team, delivering a high quality comprehensive and professional service that meets agreed standards and expectations; managing staff performance, articulating the department vision, prioritising to meet deadlines, allocating tasks and assisting in the setting of the standards of service.

As part of the Bioscience leadership team the post holder will work with colleagues, striving to constantly improve the student experience and positively deliver new initiatives to improve processes, adopting a flexible approach, working at an operational level and contributing to the development of policy and procedures, regularly working with the other Programme Manager, Head of Programme Management and other members of the Directorate.

With their Programme Manager colleague, the post holder will lead the team overseeing programme support for a range of programmes, maintaining the student record and managing programme administration (including timetabling, programme and module handbooks, departmental Education Committee and SSLC meetings); ensuring systems, processes and data management are accurate, compliant and auditable.  They will also devise, implement, develop and review processes to deliver Faculty, School and university strategies for student administration.

This is a full-time post on an indefinite contract

Key responsibilities

  • To proactively coordinate the administration of multiple programmes across the student lifecycle, playing a leading role across all operational activity from student registration and inductions, record management, module registration, and timetabling.
  • Accountable for the quality and timeliness of information and the management of student record data to the highest standard. This extends across all record keeping, including spreadsheets, paper and electronic systems; with particular emphasis on the University Student Database (SITS) ensuring compliance with external statutory returns such as HEFCE, Data Futures and UKVI.   
  • To work closely with the other Programme Managers, and Senior Programme Officers to ensure that students and academic staff receive timely and accurate responses to enquiries and that information relevant to teaching departments is disseminated efficiently to all relevant parties.  The role holder will ensure that communications are sent in a timely manner to students and academic staff to ensure that all operational and procedural deadlines are met.
  • To work closely with colleagues in Central College teams to ensure that areas of crossover are managed effectively and to agreed standards and that work flows between the centres are joined up and work effectively for students.
  • To provide effective servicing for meetings.
  • To support academic staff with student feedback mechanisms, programme, course and module evaluation reviews and information for review functions within the School and University.  Providing statistical information as and when required and implementing changes where required in response to feedback.
  • To manage the School and Departmental assessment procedures, ensuring they are compliant with university assessment regulations, governance processes and timescales; implementing and promoting good practice.  Providing regulatory and procedural advice to Heads of Dept, Programme Leads and module organisers as appropriate, ensuring that academic staff are aware of operational and processing deadlines, and escalating to the Head of Programme Management where these are not met. To support the Senior Programme Officers in ensuring that work is delegated and completed to deadlines and to a high standard.
  • Responsible for all matters relating to staff employment and performance; recruitment, selection, induction, retention, equality, management of leave and sickness procedures. Ensuring all staff receive an annual personal development review with appropriate training and support, to encourage a successful and effective contribution to the department.
  • Support, organise and provide (as appropriate) training for the team on new initiatives being rolled out across the university, relevant to the Programme management role, in liaison with the other Programme Manager and the Head of Programme Support.
  • Working with the Head of Programme Management and the other Programme Manager to deliver a robust planning of competing operational routines; ensuring limited resources are deployed across varying priorities and are able to be flexible across the cycle. Provide direction for the Senior Programme Officers and Programme Officers, enabling Senior Programme Officers to delegate workload to Programme Officers as and when appropriate and encouraging the teams in adopting a solution based approach.
