For our client we are looking for a Project Management Assitant:You are responsible for all administrative and secretarial work to support the Country Maintenance Manager CMO, Technical experts. Maintenance engineers, support engineers as well as the green team.

  • Ensure all necessary secretarial duties including:

o Incoming and outgoing correspondence in various languages;
o Schedule management;
o Organizing and taking minutes of various meetings in different languages.
o Handling incoming and outgoing telephone calls in various languages;
o Making appointments;
o Preparing presentations
o Preparation of budget reports

  • Making department-related orders in the financial system (SAP); using the tools provided;
  • Departmental budget monitoring using SAP system + orders made;
  • Checking invoices based on the orders made;
  • Organizing and booking trips, accommodations, etc.;
  • Overall support of the maintenance department;
  • Carries out necessary archiving and management of the central archive;
  • Ensures the management of all standard documents (Sharepoint);
  • Managing a number of central maintenance files
  • Administratively manage the budget bus process
  • Follow-up and reporting of the different stages of projects
  • Regular 1/1 meetings with immediate supervisor.
  • Contact with Country Maintenance Managers, Experts and other members of the Maintenance department and the CMO.
  • If necessary, contact head office, Shared Service Centre and staff in other departments and parks.

Profiel
Studies: Administrative/secretarial MBO (post-secondary vocational education).
(administration/secretary/translator/management assistant)Experience: Several years in a similar position within an industry related company, preferably in the construction or maintenance sector.Language Proficiency: The official languages of the country of employment should be proficient in writing as well as verbally.
Proficiency in English, being the international working language of the company, verbally and written is a requirement.
Proficiency in one or more languages used in our European organization (French, Dutch, German) is considered a plus.Personality/Competences: The Management Assistant is a true jack-of-all-trades. He/she is expected to have an understanding of a maintenance department and (park) organization and be able to perform tasks independently.
Through practical knowledge, he/she is able to provide the necessary service in the administrative field in the background. He/she is a perfectionist and produces work quickly and accurately. Through the quality of administrative services and excellent communication skills, he/she has a high acceptance rate within the organization. Good calendar/appointment management will help increase the efficiency of the team. He/she shows initiative, takes action, goes after things and is both diplomatic and punctual.IT skills: Proficient in Microsoft Office package, SAP, PSF-ObjectsAanbod Do your sollicitation online.
