With a staff of over 4,000 people from 63 different countries, it provides both acute and tertiary care to an increasing population of circa 800,000 people and is a provider of local, regional and national specialties. It is also a National Urology Centre, the second largest provider of dialysis services in the country, Pelvic and Acetabulum National Centre and a designated Trauma Unit.The Hospital is part of the newly established HSE Dublin & Midlands Region, which serves a population of over 1.2 million across seven counties, and operates under the governance of an independent Board of Directors who give their time on a voluntary basis. The Grade VI will be responsible for managing the Clerical teams under their Supervision to ensure the smooth running of Clerical Services within their department.Overview of role:
Key Duties and Responsibilities
- Support the Directorate Operations Team in relation to inpatient/daycase services
- Managing the Clerical teams within their assigned area of responsibility
- Engage with HR for the recruitment of clerical staff for their area of responsibility.
- Manage CORE for all clerical staff within their area of responsibility
- Provide update information for all weekly and monthly TUH/HSE reports as requested
- Work with the Operations Teams on various waiting list initiatives.
- Actively participate in continuing education consistent with the position and in particular promote continuing education programmes for staff
- Ensure staff understands the importance and relevance of quality in relation to their everyday work and that staff work to agreed standards
- Know the waiting list targets and pro-actively identify areas for quality improvement.
- Actively engage with Clinical teams in order to maximise utilisation of theatre/procedure room lists to enhance patient access to care.
- Hold data driven action focused meetings with their teams ensuring that agreed actions and projects have clear owners and target completion dates
- Carry out any other duties, which may be assigned from time to time
General accountability:
- Commitment to continuous professional development including completion of relevant internal training programmes available through our Centre for Learning & Development Prospectus.
Leadership and staff management:
- Completion of relevant training and availing of supports in the Leadership Academy including coaching, mentoring and leadership development as applicable.
Qualifications & Experience required
Must have:
- 3rd level qualification in a relevant field
- 4 years’ relevant administration experience
- Minimum of 1 years Supervisory / Management experience
- Practical experience of use of IT systems / packages
- Fluent command and understanding of the English language to include spoken and written word
- Willingness to attend HR Management workshops to ensure policies and procedures are implemented within their department
Desirable:
- Degree in a relevant field
Reward & Recognition
- Remuneration is in accordance with the Department of Health Consolidated Salary Scales 1st March 2025 – €56,757- €69,341 LSI
- The appointment is fulltime, permanent and pensionable.
- The annual leave entitlement is 30 working days per year. The leave year runs from 1st April to the 31st of March each year.
- Normal working hours are 35 worked over 5 days. Your contracted hours of work are liable to change between the hours of 8 am to 8 pm over 7 days to meet the requirements for extended day services in accordance with the terms of the Framework Agreement.
