The Post

You will be a confident, clear communicator with excellent organisational and administration skills, who is dependable, hardworking, flexible and a real team player. You are eager to scrutinize every detail in the process before, during and after events, aiming to improve customer experience and workflow efficiency.

You will have proven experience in working in the events industry and be able to evidence your passion for events and your ability to build strong relationships with stakeholders.

Familiarity and comfort in working with technology, especially social media channels, event software platforms and content management systems is key to this role. Creating, managing, and delivering online events requires someone who can navigate these platforms efficiently and effectively. Event management has changed tremendously with the availability of technology and you should be experienced in using it effectively.

The Senior Events Executive will report to the Head of Events. The main purpose of this role is to assist in the delivery, planning, management, coordination, promotion, and evaluation of the University’s annual programme of flagship events. The role holder will also have the responsibility for the planning, management, and delivery of smaller-scale events.

By delivering successful events, the role holder promotes and enhances the work of the University and strengthens our relationships with staff, students, their families, members of the local community and VIP contacts such as the Chancellor, donors, and honorary graduates.

Our events and engagement portfolio forms a crucial part of the University’s reputation management and student experience, and each event must be managed in a manner that ensures that the objectives are met, and that the University is positively and professionally represented.

Description of Duties

  • To assist the Head of Events with the project management and delivery of major events, ensuring smooth and efficient running. This includes graduation ceremonies, student recruitment events and induction for new students – prestigious events in the University calendar
  • Supporting the Head of Events and coordinating and promoting events communications and activity across multiple channels e.g., social media, newsletters, print and web pages
  • To research and draft briefing materials for the Principal, Chancellor, Head of the Directorate and other senior staff at key events
  • To create and project manage innovative smaller events from conception to completion, ensuring smooth and efficient running
  • To support the Student Life and Engagement Co-ordinator with the delivery of the Be Connected programme when required
  • To produce post event evaluation reports and management reports
  • To deputise for Head of Events in the event of their absence
  • In support of Head of Events, line manage our Events Assistant

Additional Information / Special Conditions

  • Ability and willingness to work long and irregular hours (including evenings and weekends) as required
  • You are expected to be available to work during key events months; March, June and September
  • Holder of UK driving licence

Essential Criteria

Qualifications

  • Educated to degree level in a relevant area, event management/marketing/project management, or where no formal qualification is held equivalent then relevant experience is required

Knowledge & Experience

  • Sound specialist knowledge of the principles of events management and at proven experience of working within that area on major events
  • Demonstrable ability to project manage and administer events
  • Advanced knowledge of Word, PowerPoint, Excel, social media platforms, event software and content management systems
  • Experience briefing senior staff regarding events
  • Experience providing training, guidance and advice to staff on events issues
  • Experience prioritising workload, making decisions, working to deadline and working unsupervised without having to seek input from others

Skills & Attributes

  • Excellent communication skills and ability to communicate effectively with a wide range of customers, partners and stakeholders
  • Good public speaking and interpersonal skills with ability to represent the University in the public arena
  • Excellent written communication skills and ability to write authoritative materials that will guide and inform students, colleagues, contacts and participants at events
  • Proven attention to detail with a systematic and methodical approach to work
  • Ability to horizon scan to assist the Head of Events in ensuring compliance with legislation such as the DDA, data protection law, and provide information to the FOI unit for response to Freedom of Information
  • Ability and willingness to engage in further education and training to ensure that knowledge base and skills are up to date
