Summary

As a Sr. Office Coordinator, you will play a crucial role in supporting the efficient operation of the Malta operations. Your primary responsibility will be to coordinate internal and external communications for the Vantive Health Malta site, as well as provide administrative, HR and organizational assistance to the Director and Malta Senior Leadership Team, enabling them to focus on their core responsibilities and overall site performance.

What you’ll be doing –

  • Responsible for the execution of the internal communication plan.
  • Actively participate in strategies that promote the company’s culture of engagement.
  • Link with payroll contractor for any local queries.
  • Purchase orders for any office needs.
  • Coordinate with HR and IT point of contact for the onsite staff in all required support.
  • Provides support to departments in the execution of internal communication campaigns.
  • Supports management in tasks related to the management of public relations and corporate communication.
  • Maintain confidential and sensitive information with discretion.
  • Coordinate and prepare for meetings, including agenda creation, room setup, materials distribution, and other logistical activities.
  • Maintain office supplies and ensure a clean and organized work environment.
  • Handle basic office administrative tasks.

What you’ll bring –

  • Diploma in Administration/ HR or equivalent work experience preferred.
  • Proven experience in administrative roles.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in office software (e.g., Microsoft Office Suite).
  • Ability to handle confidential information with discretion.
  • Flexibility and adaptability to changing priorities.
