Job Description:In this position (based whether at the Bologna HQ or at the Pianoro site) you will be part of our Shared Services team and will primarily be responsible for providing HR Shared Administration Services to employees, managers and Human Resources. You will undertake all administration tasks associated with HR systems (HR Cloud and OnBase) and Time & Attendance (Zucchetti) covering the employment life cycle e.g., on-boarding, employment changes, benefit & pensions administration, and terminations.Responsibilities:1.HR SYSTEM MAINTENANCE
- Accurate & timely input of HR system (HR Cloud) data, time & attendance (Zucchetti) data and provide data changes to payroll as required.
- Processing employee data changes, checking employee records and completing data cleansing to ensure accuracy of our people data.
- Process manager & employee HR Cloud self-service transactions, in line with regional job & approval matrices.
- Assist with completing regular HR Cloud data audits, analysis and data cleansing routines to ensure accuracy of information held and confidence in data integrity.
- Generate payroll/HR information e.g. turnover/headcount, payroll and absence reporting, and ensuring data produced is accurate and supports achievement of business / HR objectives.
- Review status reports and process offers in the ORC system and ensure timely and accurate alignment with new hire administration.
- Ensure OnBase employee files remain accurate & up to date through timely filing practices.
- Ensure service work efforts are reflected accurately in ServiceNow case management system, and submitted service request are dealt with in line with SLA’s.
- Provide escalation support to resolve Zucchetti time & attendance access issues and to facilitate set up of access for new hires, termination of system access for leavers, and request updates to Zucchetti role profiles as required working in partnership with local IT and Zucchetti IT.
- Provide data to support Compensation and Benefits annual cycle e.g., Bonus, Merit and pay data surveys.
- Support managers & employees with annual goal & performance activities in HR Cloud.
2.GENERAL HRSS ADMINISTRATION
- Process documentation for new hires – issuing offer packs, contracts of employment, and undertaking pre-employment checks and medical referrals in line with business and legal requirements.
- Prepare and send correspondence related to employment changes and terminations.
- Utilize the appropriate templates and processes for all offer letters, new hire paperwork, leavers, and unemployment verifications, etc. and enter on HR Cloud as needed.
- Investigate and resolve matters brought forward by managers in the areas of HRSS.
- Work in close partnership with payroll to ensure all required employee changes impacting payroll are provided in an accurate and timely manner.
- Provide information and guidance to managers and employees relating to employment e.g., terms and conditions, benefit schemes, time off arrangements, HR policy and procedures.
- Process citizen documentation, including visa/visa renewals to ensure legal compliance is met in line within agreed timescales.
- Process third party requests and provision of information in line with internal and external requirements to agreed timescales.
- Lead the maintenance of benefit schemes (Medicover, Pensions, Sodexo, Multisport)
- Acting as a point of contact for signposting managers and employees to raise inquiries with the regional payroll team on pay related issues.
- Support the harmonization of Poland pay policies and procedures linked to time keeping, payroll processing, and statutory reporting
- Support the HRSS Manager in driving service excellence and process efficiency to deliver improvements on right first-time resolution rates, transaction turnaround times, processing accuracy and customer satisfaction.
- Advice managers and employees on topics related to HRSS process and operating arrangements.
3.STANDARDIZATION AND PROCESS IMPROVEMENT
- Support the HRSS Manager in reviewing and re-designing HR processes utilising LEAN methodology approaches to achieve auditable efficiency gains in HR processes and service delivery, and ensuring compliance with HR policies, Employment Laws, Data Protection and HRSS best practice.
- Identify and/or evaluate other potential activities that can be added to shared services and include in our services provided.
- Identify HRSS processes suitable for automation and/or digitisation and support the HRSS Manager with the implementation of automation projects.
4.TRAINING & COMMUNICATION
- Ensure all HR customers are trained in the use of HR Cloud/Zucchetti and/or have access to appropriate user-friendly guidance material and resources.
- Promote the use of HR Cloud and Zucchetti at the most appropriate level e.g., by actively promoting Manager and Employee Self Service.
Qualifications:
- Previous experience of operating in HR Shared Services or HR department,
- Degree in Human Resources, Business Administration or Economics,
- Exceptional attention to detail and accuracy
- Desire and ability to make process improvements
- Fluent in Italian and good English. Another language would be beneficial but no requirement.
- Working knowledge of HR Regulatory Framework, Employment Law & General Data Protection Regulations, Working Time, Family Friendly legislation, statutory entitlements etc.
