The Post

HR Services is responsible for a range of people management activity across the University and brings together four teams: Recruitment & Resourcing; Employee Lifecycle; Payroll & Pensions; and HR Systems & Data.

This role will be responsible for providing advice, guidance and support on a range of employee related lifecycle processes and recruitment activity.

The successful candidate should have demonstrable experience in supporting employee lifecycle/recruitment processes and will be expected to contribute to continuous improvement activities to ensure our processes are customer focussed, efficient and where possible aligned with relevant HR Systems.

This role is “hands on”, delivery focussed and offers a great opportunity to shape the way we do things.

Description of Duties

  • Provide advice, guidance and administrative support across the full range of employee lifecycle processes and terms and conditions of employment
  • Manage the end-to-end recruitment process via the e-recruitment system including providing advice and guidance on the application of recruitment policies and processes.
  • Respond professionally and efficiently to all candidate queries
  • To prepare, check and issue contracts of employment
  • To ensure employee data is accurately recorded within the HR/Payroll System in advance of monthly deadlines
  • To prepare employee related data reports from a range of systems to support HR Services
  • To manage queries and responses received into the team via phone, email or face to face and provide guidance on processes and policies
  • Assisting with UKVI compliance regulations
  • Contribute and/or facilitate continuous improvement activity within HR Services to review policies/processes to ensure they are efficient, intuitive and responsive
  • Work closely and effectively with the wider HR Services team
  • Manage or participate in ad-hoc HR related projects as agreed with HR Services Manager or Director or HR Services
  • Any other duties appropriate to the grade of the post

Essential Criteria

  • Educated to HND level or equivalent professional experience
  • Experience of employee lifecycle/recruitment and resourcing processes
  • Experience of preparing offers of employment
  • Experience of responding to customer enquiries and of providing advice, guidance and support on the interpretation of HR related policies, processes, and practices
  • Experience of developing responsive, intuitive administrative processes
  • Experience of using a HR system and/or recruitment system
  • Knowledge of, and competence using, Microsoft Excel, digital technologies such as SharePoint, Adobe Pro
  • Ability to work independently as well as part of a team and able to motivate colleagues
  • Excellent verbal and written communication skills
  • Ability to prioritise multiple tasks and meet deadlines

Desirable Criteria

  • Experience of working in an HR environment within Higher Education
  • Experience of SAP
  • Experience of Talentlink

HR Services incorporates, all aspects of generalist HR and employee relations support to the organisation, payroll and pensions, and learning and development. The service is responsible for supporting the employment of University staff, providing advice and guidance on matters including staff recruitment, contracts of employment, promotion, appraisals, term and conditions, professional development etc.

The objectives of the HR Services team are to:

  • Enhance the human resources, organisational capability and performance of the University.
  • Provide an efficient, accurate and timely service in all aspects of the employment life cycle.
  • Develop a comprehensive, accurate and flexible HR Information system.
  • Advise and support staff on employee relations, employment matters, including interpretation and application of University policies and procedures.
  • Provide administrative, procedural and policy development, and support and advice to University committees.
  • Ensure compliance with legal and policy obligations.

HR Services is responsible for SAP, the University’s HR Information system for managing and processing all staff related information. We also provide a payroll and pension service to the University and administer the University Pensions scheme.
